Join our team in Port Alberni, BC, and work closely with operations, project teams, and vendors to ensure travel is efficient, cost-effective, and responsive to changing business needs while providing reliable support to employees before and during travel.
What You’ll Do
- Coordinate domestic and international travel bookings including flights, hotels, and ground transportation.
- Prepare accurate itineraries aligned with operational schedules and project timelines.
- Ensure all bookings comply with company travel policies, approvals, and budgets.
- Provide guidance to employees regarding travel procedures, documentation, and approvals.
- Liaise with airlines, hotels, travel agencies, and transportation providers to secure competitive rates and resolve issues.
- Maintain strong vendor relationships to support flexible travel arrangements.
- Track travel expenses and maintain accurate records for reconciliation and reporting.
- Provide travel cost summaries and identify opportunities for savings and improved efficiency.
- Coordinate travel documentation including passports, visas, and insurance.
- Monitor travel advisories and ensure traveler safety protocols are followed.
- Work with operations and project teams to align travel schedules with deployments and training.
- Provide real-time support to employees during travel disruptions or emergencies.
- Serve as the primary point of contact for travel-related questions and issue resolution.
What You’ll Bring
- 3–5 years of experience coordinating corporate or high-volume travel arrangements.
- Experience managing international travel logistics, including visas, documentation, and vendor coordination.
- Experience tracking travel expenses and supporting cost reporting or reconciliation.
- Proficiency using travel booking systems and online reservation platforms.
- Knowledge of international travel regulations and visa requirements.
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with expense management or reporting systems.
- Strong scheduling, logistics coordination, and organizational skills.
- Ability to multitask, work under pressure, and manage urgent changes.
- Excellent communication and interpersonal skills.
- Customer-service oriented mindset with strong problem-solving and decision-making skills.
- High attention to detail, professionalism, and discretion when handling sensitive information.
