Job Title
Purpose of the role
The Administration Specialist (Building and Facilities) supports stakeholders in ensuring the smooth daily operation, maintenance, and repair of Amadeus and Navitaire office equipment and facilities. You will also coordinate transport services, including shuttle booking, scheduling, and dispatch.
In this role you'll:
General Administration
Coordinate work permits and gate passes for equipment repair, maintenance, deliveries, and office improvements.
Process purchase requests, orders, and billing for maintenance services, repairs, and projects.
Collaborate with the building administration and engineering teams to coordinate maintenance activities, parking allocation, and lease-related matters.
Plan and maintain parking space allocation records for Amadeus and Navitaire teams.
Support onboarding sessions by introducing administration, building, and facilities processes, services, and guidelines.
Equipment and Maintenance
Coordinate repairs and maintenance of mechanical, electrical, plumbing, fire detection and alarm systems (FDAS), fire protection systems, closed-circuit television (CCTV), and other equipment.
Monitor maintenance activities carried out by internal teams and service providers to ensure compliance with defined standards.
Maintain up-to-date equipment records, including maintenance procedures.
Collect and organise maintenance requests and coordinate their completion with service providers.
Provide updates to stakeholders on maintenance progress and related activities.
Facilities Management
Conduct regular inspections of office spaces and facilities to ensure functionality and upkeep.
Coordinate facilities services such as cleaning and pest control activities.
Support office repair and improvement activities, including minor civil and furniture works.
Identify and help resolve facility-related concerns.
Monitor shared spaces and amenities (e.g. pantry areas, rest areas, medical rooms) to ensure cleanliness, safety, and usability.
Travel and Transportation Services
Coordinate with banking and travel partners to support corporate travel card management and ticket processing.
Work with travel service providers to support employee travel needs, including flights, visas, accommodation, and transport.
Coordinate shuttle services, including bookings, schedules, and route updates.
Support transport arrangements for company-related activities and events.
Health, Safety, and Environment (HSE – Health, Safety and Environment)
Help ensure that premises comply with applicable regulations and safety standards.
Support fire safety programmes, including drills, equipment readiness, and awareness activities.
Support environmentally friendly initiatives aligned with company commitments.
Assist in completing required facility and environmental reporting activities.
About the ideal candidate
Relevant degree or equivalent experience in Business Administration, Engineering, or a related field.
Relevant experience in administration, facilities, or a related area.
Ability to apply company policies and processes in daily work.
Knowledge of general administration and facilities processes.
Ability to manage multiple tasks, communicate effectively, and collaborate with different stakeholders; flexibility may occasionally be required outside standard hours.
