- Bachelor's Degree in related field required
Experience Qualifications:
- 10+ years administrative or equivalent acceptable experience required
Skills Qualifications:
- Ability to follow oral and written instructions quickly and accurately
- Knowledge of PeopleSoft and Simbli software
- Ability to record and issue minutes
- Strong calculator and mathematics skills
- Competent technology skills in word processing, graphics, spreadsheets, and experience using the Microsoft Office Suite and Lotus Notes
- Ability to manage several large projects at any given time
- Ability to detect and correct errors in standard English language usage
- Excellent telephone and public relations skills
- Knowledge of state and local governmental operations
- Ability to scan documents for editing and read-only purposes
Primary Responsibilities:
Perform the administrative assistant duties necessary to support the CEO/Superintendent in the effective execution of his/her duties and to ensure optimal operation of the CEO/Superintendent's Office on a daily basis.
- Perform necessary work to support effective operation of the CEO/Superintendent's Office.
- Manage the CEO/Superintendent's calendar.
- Handle telephone calls to the CEO/Superintendent's Office in a professional and efficient manner.
- Handle routine correspondence into and out of the CEO/Superintendent's Office.
- Take notes at Executive Cabinet and Full Cabinet meetings and distribute a written summary of action items, important events and dates, and required follow-up.
- Maintain a master filing system for the CEO/Superintendent's Office.
- Handle all travel arrangements, documentation, and back-up support associated with the CEO/Superintendent's participation in various meetings, conferences, and workshops locally and elsewhere.
- Provide administrative assistance as needed to support effective operations of the Gwinnett County Board of Education.
- Serve as the primary back-up and support to the Coordinator of Board Services on Board of Education meetings.
- Provide additional Board member support and assistance as needed.
- Monitor the MySchoolBoard e-mail inbox and route inquiries to the Board or to staff members as appropriate to respond in collaboration with the Coordinator of Board Services.
- Direct the office management functions for the CEO/Superintendent's Office.
- Coordinate schedules for the administrative staff in the CEO/Superintendent's Office.
- Conduct quarterly meetings with the administrative staff in the CEO/Superintendent's Office.
- Conduct quarterly meetings with division administrative assistants.
- Model and communicate the expectations and performance levels for administrative staff in the CEO/Superintendent's Office.
- Support and promote the Board's beliefs and commitments and the vision, mission, and goals of the district.
- Assist with other duties assigned by the CEO/Superintendent and/or Chief of Staff.
Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
