The Assistant Facility Manager - Soft Services supports the Facility Manager in managing and delivering all soft services operations at the assigned client site. This role focuses on non-technical facility services including housekeeping, catering, reception, security coordination, landscaping, pest control, and waste management to ensure a clean, safe, and welcoming environment for building occupants while meeting client expectations and service level agreements.

Key Responsibilities

Housekeeping & Cleaning Services

Oversee daily cleaning operations and ensure housekeeping teams maintain high standards across all areas including offices, common areas, restrooms, and meeting rooms. Conduct regular quality inspections and audits to verify cleanliness standards are consistently met. Manage cleaning schedules, consumables inventory, and specialty cleaning requirements. Coordinate deep cleaning projects and respond promptly to ad-hoc cleaning requests from building occupants.

Service Vendor Management

Supervise and coordinate soft services vendors including cleaning contractors, catering providers, landscaping teams, pest control services, and waste management companies. Monitor vendor performance against service level agreements and conduct regular performance reviews. Ensure vendors comply with health, safety, and quality standards. Manage vendor contracts, work schedules, and billing processes in coordination with the Facility Manager.

Reception & Front-of-House Services

Oversee reception desk operations, visitor management, and access control processes. Ensure reception staff provide professional, courteous service to all visitors and building occupants. Manage meeting room bookings, conference facilities setup, and audio-visual equipment coordination. Support building signage, wayfinding, and tenant communication boards.

Security Coordination

Coordinate with security personnel to ensure proper access control and visitor management procedures. Support security audits, incident reporting, and emergency evacuation procedures. Monitor CCTV systems and access control logs as required. Liaise with security vendors and building management on safety protocols.

Catering & Pantry Services

Manage cafeteria, pantry, and vending machine services to meet occupant needs. Coordinate catering for events, meetings, and special functions. Ensure food safety standards and hygiene protocols are maintained. Manage inventory of pantry supplies and coordinate restocking schedules.

Waste Management & Sustainability

Oversee waste segregation, recycling programs, and disposal services. Promote sustainability initiatives and environmental best practices. Coordinate hazardous waste disposal and compliance with environmental regulations. Track waste metrics and support corporate sustainability reporting.

Landscaping & External Areas

Manage landscaping maintenance including lawn care, plant watering, and garden upkeep. Coordinate seasonal landscaping activities and exterior cleanliness. Ensure parking areas, walkways, and external building areas are well-maintained and safe.

Pest Control Management

Schedule and coordinate regular pest control services. Monitor pest activity and respond to occupant concerns promptly. Ensure pest control activities comply with health and safety regulations.

Client & Occupant Relations

Serve as primary point of contact for soft services-related queries and requests. Conduct regular walkthroughs with clients to assess service quality and gather feedback. Address occupant complaints and service issues promptly and professionally. Build positive relationships with tenants and stakeholders to enhance service delivery.

Quality Assurance & Compliance

Conduct daily, weekly, and monthly quality inspections using standardized checklists. Ensure all soft services comply with health, safety, and environmental regulations. Maintain service delivery documentation, inspection reports, and compliance records. Implement corrective actions when service standards are not met.

Budget & Cost Management

Assist with soft services budget tracking and cost control measures. Process vendor invoices and track expenses against budget allocations. Identify cost-saving opportunities while maintaining service quality. Prepare monthly reports on service performance and expenditure.

Health & Safety

Ensure all soft services staff and vendors follow health and safety protocols. Conduct safety briefings and inductions for new vendors and staff. Maintain Material Safety Data Sheets (MSDS) for cleaning chemicals and materials. Support incident investigation and corrective action implementation.

Administrative Duties

Maintain accurate records in the facility management system including work orders, inspections, and vendor performance data. Prepare regular reports on soft services operations, KPIs, and service level achievement. Coordinate staff rosters, leave planning, and coverage arrangements. Support procurement processes for soft services supplies and contracts.

Qualifications

Required:

  • Bachelor's degree in Facility Management, Hospitality Management, Business Administration, or related field, or equivalent work experience
  • 2-4 years of experience in soft services, facility management, hospitality, or hotel operations
  • Strong understanding of housekeeping operations, cleaning standards, and quality control processes
  • Knowledge of health and safety regulations, hygiene standards, and environmental compliance
  • Experience in vendor management and service coordination
  • Excellent interpersonal and customer service skills
  • Strong organizational abilities and attention to detail
  • Proficiency in Microsoft Office Suite and facility management software
  • Ability to work flexible hours including occasional evenings or weekends for events or emergency situations

Preferred:

  • Background in hospitality, hotel operations, or corporate facilities
  • Experience with sustainability and waste management programs
  • Multilingual capabilities for diverse occupant populations
