Receptionist & Professional Development Coordinator

 

Position Summary

 

SAU 39 is seeking a welcoming, highly organized, and detail-oriented Administrative Assistant / Receptionist and Professional Development Coordinator. As the first point of contact for the SAU office, this position plays a key role in creating a positive experience for staff, students, families, and community members while providing administrative support to the Human Resources department. The successful candidate will manage front office operations, coordinate professional development processes, assist with HR functions, and support a variety of district initiatives.

 

Essential Responsibilities

 

Reception & Office Administration

 

  • Serve as the primary receptionist for the SAU office by greeting visitors and answering/directing calls.
  • Receive and route deliveries, mail, and correspondence.
  • Maintain office supplies, copier/printer supplies, postage machine supplies, and related purchasing.
  • Provide exceptional customer service to staff, families, vendors, and community members.

     

Human Resources Support

 

  • Assist with job postings, substitute and volunteer onboarding, and fingerprinting processes.
  • Maintain personnel records and employee files.
  • Support contract upgrades, transcript tracking, and employee certification records.
  • Generate onboarding and employment-related documentation.
  • Provide general administrative support to the Human Resources Department.

     

Professional Development Coordination

 

  • Administer and support the district's professional development management system.
  • Process and track professional development reimbursements and maintain accurate records.
  • Answer staff questions regarding professional development opportunities, funding, and reimbursement procedures.
  • Maintain professional development budgets and reconciliation records.
  • Assist staff with certification renewals and recertification requirements.
  • Coordinate district training activities and maintain professional development catalogs.

     

Additional Duties

 

  • Create purchase orders and support vendor communications as assigned.
  • Assist with special projects for Human Resources, Curriculum, and District Administration.
  • Perform other duties as assigned.

     

Qualifications

 

  • High school diploma required; associate's or bachelor's degree preferred.
  • One to three years of administrative, receptionist, office management, or related experience preferred.
  • Proficiency with Microsoft Office Suite and web-based software systems.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong customer service orientation and attention to detail.
