As a Senior Office Services Clerk, your responsibilities will include:
Event planning
• Internal events support, including calendar invites, catering (including alcoholic and non- alcoholic beverages, room set-up, venue logistics, décor, etc. in collaboration with the Office Manager
• External events support, in collaboration with marketing
• Requires some flexibility for early start or late departure
Facilities
• Maintain the facility, ensuring a safe, clean and efficient workplace for all colleagues daily
• Respond to all building-related requests or emergencies, ensuring all are actioned and closed as per service level agreements
• Coordinate day-to-day facilities-related contracts, including janitorial, coffee, plant care, shredding, etc.
• Oversee the floor plan and seating plan for the office
• Set-up access cards, parking access and alarm codes for new colleagues and maintaining accurate and up-to-date records
• Confirm and follow standard operating procedures for all routine maintenance, preventative maintenance and reactive maintenance for provincial offices.
• Regular weekly meetings with office manager to discuss any items that need to be actioned
• Fire warden and occupational health and safety committee rep for Halifax office
• Provide support to the office manager as required
• Facilities and vendor support for other Nova Scotia offices
• Business unit initiatives such as recognition programs
• Support the purchase and delivery of new furniture as needed
• Complete other administrative tasks to support the office manager, admin team and all client service colleagues as required
• Provide back-up support to office coordinator and reception during absences
• Reception desk phone coverage
• Catering delivery and set up
• Assist with faxes, couriers, mail, scanning as required
• Coordinate and stock office supplies for Halifax office; coordinate special items for all provincial offices when necessary

Think you’ve got what it takes to be a Senior Office Services Coordinator? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:
• Post-secondary education - completion of Degree/Diploma program
• Successful completion of a recognized administrative/office program an asset
• Minimum 2 years’ work experience in a business-oriented environment and/or facilities and events related role
• Proven document production experience (i.e. preparing, proofing, editing and finalizing letters, memos, proposals, reports, presentations, etc.)
• Excellent verbal and written communication skills
• Strong time management, organizational and prioritization skills
• Ability to multi-task and work in a deadline driven environment
• Eagerness to learn new skills and willingness to take the initiative
• Strong attention to detail and focus on accuracy
• Creative problem-solving skills and sound professional judgment
• Ability to work effectively independently and as part of a team
• Strong proficiency with MS Office applications, including Excel, Word, Power Point, Outlook, Microsoft Project and database skills
