Position Details
The College of Arts and Letters at The University of Tampa has an opening for a full-time Administrative Assistant to support the College of Arts and Letters. This position will be responsible for the day-to-day operations of the Office of the Dean in a fast-paced environment and provides initial contact and customer service to students, faculty, staff, and community guests.
Responsibilities:
1. Provide administrative support to the Dean and Associate Dean of the College of Arts and Letters including maintaining calendars and scheduling meetings.
2. Assist maintaining budgets and restricted accounts.
3. Help in onboarding staff and faculty and ensuring part-time faculty contracts are correct from semester to semester including collecting and verifying academic transcripts.
4. Oversee purchasing, submission of supplier invoice requests, purchase orders, review faculty reimbursements and spend authorizations, and process stipends in Workday.
5. Maintain, order, distribute, and reconcile supplies.
6. Oversee student employment and multiple staff assistants.
7. Run course evaluations each semester, oversee faculty elections in the College and assist in maintaining sensitive and critical files including personnel files and promotion files.
8. Ensure payment and/or transfer of funds to cover stipends and period activity pay.
9. Maintain general knowledge of university policies.
10. Interface with faculty, staff and students in a professional manner.
11. Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.
Qualifications:
1. High school diploma required, college degree preferred.
2. Two (2) years skilled clerical experience.
3. Working knowledge of office equipment.
4. Ability to handle multiple tasks and maintain confidentiality.
5. Good oral, interpersonal and organizational skills are needed as well as the ability to establish priorities and manage time wisely.
6. Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday, Canvas and Microsoft Office.
7. Willingness to embrace new technologies and innovative organizational practices.

Work Schedule:
Monday through Friday, 8:30 a.m. to 5:00 p.m.
Summer - Monday through Thursday, 8:00 a.m. to 5:30 p.m.
Some weekends and evenings may be required.
