
Recruiting Coordinator (Temporary Assignment)

Travel: Occasional travel to our San Francisco office may be required
We’re looking for a detail‑driven, people‑focused Recruiting Coordinator to join our HR team on a temporary basis to cover a leave. This is a great opportunity for someone who enjoys fast-paced HR work, thrives on organization, and loves supporting candidates and employees through meaningful moments—from interviews to onboarding.
This role begins immediately and runs through late November. The position is hybrid, with regular in‑office days at our Alameda location.
About the Role
As our Recruiting Coordinator, you’ll support essential HR functions including recruitment, onboarding, and employee data management. You’ll partner closely with hiring teams, new hires, and internal stakeholders to ensure a smooth, positive experience at every step. This role requires strong attention to detail, excellent communication skills, and a customer‑service mindset.
Key Responsibilities
College Recruiting Support
Coordinate materials for seasonal campus events (banners, giveaways, brochures, etc.) and enter all events into Yello.
Schedule round‑robin interview sessions, reserve rooms, prepare interview guides, and serve as the onsite point of contact for candidates.
Prepare offer and declination letters for Intern and college‑level Project Engineer candidates.
Support Intern offboarding at the end of summer in partnership with IT and Payroll.
New Hire Onboarding
Partner with staffing teams to confirm project/manager assignments.
Process hires in Workday after offer acceptance.
Monitor background checks and review any issues with management.
Coordinate new hire travel for orientation when required.
Audit and follow up on new hire paperwork; maintain communication with new hires to ensure a smooth pre‑start experience.
Complete Section 2 of the I‑9 within required timelines.
Facilitate new hire orientation, coordinate executive welcome messages, and prepare welcome gifts.
Send post‑hire satisfaction surveys and compile quarterly reporting.
Immigration & Compliance
Manage internal immigration postings and maintain visa files.
Process Employment Development Department (EDD) notices, including unemployment claim verification, escalating issues as needed.
Invoice Processing & Administrative Support
Review and code HR invoices weekly (immigration, recruiting, etc.).
Process check requests as needed.
Support team meeting logistics and interview scheduling as needed.
Assist with additional HR projects and tasks as assigned.
What You Bring
Bachelor’s degree or equivalent experience.
At least three years of administrative experience, ideally within an HR department.
Proficiency in Microsoft Office; Workday experience is strongly preferred.
Strong attention to detail and the ability to escalate issues appropriately.
Excellent written and verbal communication skills.
Ability to prioritize effectively and manage multiple deadlines.
A collaborative mindset and the ability to build strong working relationships.
High integrity and the ability to maintain confidentiality with sensitive employee data.
