The Executive Assistant will be responsible for managing a wide range of administrative and executive support duties while serving as the primary point of contact between the executive leadership and internal stakeholders. This role provides high-level support to the executive team to ensure company goals and objectives are achieved and daily operations run smoothly and efficiently.
Location: Abu Dhabi
Duty Hours: 48 Hours per week for 5 days
Essential Functions
Manages professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
Coordinates complex scheduling and extensive calendar management, as well as management of content and flow of information to CEO/senior executives.
Manages, coordinates, and arranges CEO/senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination.
- Performs administrative and office support, such as typing, dictation, spreadsheet creation, sending emails, and maintenance of filing system and contact database.
- Prepare reports, correspondence, and presentations as required.
Facilitates approvals of documents by the CEO/senior management.
Maintains professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
Organizes team communications and plan events, both internally and offsite.
Qualifications/Requirements:
- Degree in Business or related field
- 10-15 years of proven experience as an Executive Assistant or a similar role
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Proficiency in MS Office and relevant administrative tools
- Ability to multitask and work under pressure
- Ability to analyze situations and take appropriate action consistent with company policies.
- Operates in a fair, consistent and equitable manner, and displays such behavior by example.
- Takes or organizes individual and collective action after analyzing situations based on the available evidence and knowledge.
