We are on the lookout for an experienced Administrative Assistant to join our team in our Sarasota, FL office. Reporting directly to the Branch Manager, the Administrative Assistant provides comprehensive administrative and secretarial support to the Branch Manager and field office adjusters. This role is responsible for managing office operations, coordinating communications, organizing information, and supporting special projects. The position requires handling confidential information, interacting with internal and external stakeholders, and exercising independent judgment to prioritize and organize a diverse workload.
Key Responsibilities
- Coordinate and schedule meetings, travel arrangements, conferences, and departmental activities
- Maintain and organize filing systems, ensuring easy retrieval and proper documentation
- Manage high volumes of information, incoming calls, and correspondence
- Create and set up new claim files; transmit electronic reports to clients on the same day
- Respond promptly to client emails and ensure report distribution within one business day
- Sort, scan, and distribute incoming mail; draft responses to inquiries as needed
- Answer and manage phone calls, including handling routine and non-routine questions
- Handle confidential and sensitive information with discretion
- Support both independent and team-based projects, including ongoing and ad hoc assignments
- Prepare and format correspondence, memos, reports, charts, and presentations with a high degree of accuracy
- Proofread documents for spelling, grammar, clarity, and formatting
Skills, knowledge & expertise
- High school diploma or equivalent
- At least one year of administrative experience
- Associate’s degree preferred
- Two years of related experience
- Excellent time management skills
- Excellent verbal and written skills
- Possess the ability to handle confidential information
- Can exercise independent judgment to prioritize and organize a diverse workload
- Superb organizational and attention to detail skills
