About This Opportunity
We are seeking a motivated, energetic and organised Office Coordinator to support the effective and efficient operation of the ARC Centre of Excellence for Green Electrochemical Transformation of Carbon Dioxide (GETCO2) and UQ Dow Centre for Sustainable Engineering Innovation.
In this role you will report to the GETCO2 Deputy Director Strategy & Operations and work within a small, high-performing team to ensure the smooth, effective and efficient operation of the centres. To be successful in this role, you will possess highly developed administration, coordination and interpersonal communication skills, and demonstrate a commitment to providing exceptional customer service.
Key responsibilities will include:
Provide high-level administrative support to Centre Executives, including diary management, travel coordination, and credit card reconciliation.
Coordinate space, resources, equipment and facilities to optimise office operations and outcomes.
Develop, implement and continuously improve administrative processes, systems, standard operating procedures and office protocols.
Respond to complex enquiries, interpreting relevant policies, procedures and entitlements as required.
Liaise with internal and external stakeholders to build effective relationships that support Centre operations.
Manage financial administration, including accounts payable, invoice processing and reimbursement claims in line with University policies.
Coordinate committees, events, seminars and engagement activities, including end-to-end planning and delivery.
Undertake data management and project support activities, including data reporting, record keeping and coordination or delivery of office-based projects.
About You
A degree with subsequent relevant experience in technical or administrative fields.
Demonstrated experience in successful event and project management skills, including experience in contract negotiation, budget tracking and event planning.
Well-developed interpersonal skills, including the ability to communicate effectively, handle sensitive and confidential matters, negotiate effective outcomes and work effectively as a member of a high performing team.
Highly developed organisational skills and demonstrated ability to work autonomously, prioritise work to meet competing deadlines and work with a high level of accuracy and attention to detail.
A high level of computer proficiency and digital literacy skills including Microsoft software, databases, websites and social media platforms.
Demonstrated ability to work co-operatively and flexibly in a small team environment, with a commitment to the delivery of excellent customer service.
Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
