The Related Services Coordinator serves as the contact point for all teachers, staff, and service providers at the school regarding any therapy or related services (RS) provided to students through an Individualized Education Plan or 504 Plan. The Related Services Coordinator is responsible for adhering to federal and state procedures, timelines, and all required reporting regarding the acquisition and provision of these services to students.Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties.
- Develops a statewide network of providers within the private and public (hospitals, universities, schools, etc.) sector
- Negotiates rates with providers based on market value of services rendered
- Establishes contracts with service providers as appropriate
- Ensures existing contracts are compliant (current licensure, documentation)
- Maintains a current and accurate database of RS providers
- Utilizes the Related Service Manager (RSM) or other school database to ensure prompt and accurate delivery of RS
- Ensures appropriate placement of all students requiring some form of RS in an expedited time frame (less than one week) with a provider online or within 30 miles of the student’s home
- Ensures the tracking tools for students receiving RS are maintained
- Ensures proper documentation is received including progress reports, evaluations, and IEP documentation
- Ensures RS policies and procedures are implemented and followed
- Monitors school level data within the available database(s) of all RS, invoices, and student information
- Ensures IEP requirements for related service goals and services are met
- Tracks and monitor attendance at related service sessions
- Monitors the enrollment of new students to ensure timely receipt of service information
- Trains all stakeholders on the use of the Related Service Manager (RSM), school policies and procedures, and/or the use of any other school programs
- Trains applicable individuals who directly support and work with the school on verification and approval of all RS invoices
- Trains Providers and Therapists on all applicable RS platforms, such as but not limited to the RSM
- When applicable, ensures the successful training of Providers or Therapists on any school-based systems or documents such as an IEP program or Sharepoint
- Ensures the successful training of the school personnel (including teachers) on all applicable related service platforms, such as but not limited to the RSM
- Supports the school administration on the implementation of the RS program
- Directly supports and works with the Business Manager and Special Programs Manager on verification and approval of all RS invoices
- Upon request, creates reports for supervisor, SPM, HOS and/or the Board regarding the status of RS at the school
- Maintains awareness of current RS expenditures and annual budget guidelines
- Works with providers/schools when conflicts arise in a professional and prompt manner
Supervisory Responsibilities: This position has no formal supervisory responsibilities

- Ability to maintain a professional home office without distraction during work day
- Ability to manage resources well (including tools, time, and task prioritization)
- Ability to rapidly learn and adapt to new technologies and online platforms
- Strong communication, organization, and interpersonal skills
- Microsoft Office (Outlook, Word, Excel, PowerPoint, Project, Visio, etc.); Web proficiency.
- Ability to travel up to 20% of the time
- Ability to pass required background check
DESIRED Qualifications:
- Experience working with public or charter schools
- Experience working with special education and/or RS
- Experience with Medicaid billing desired
