We are seeking a talented Contract and Compliance Administrator to join our team at our corporate office in Overland Park, KS.
 
Summary of Position:                                                                                                                                
This role manages the full lifecycle of licenses and permits across all company locations, conducting federal, state, and local regulatory research and preparing, filing, and tracking the applications and renewals required to keep every site in good standing. Working with the manager of licenses and permits, the administrator supports both ongoing compliance and new site setup, and contributes to legal entity setup and management, tax compliance, and agency compliance initiatives. This individual maintains organized, audit-ready records through an electronic database and physical filing systems, and owns a deadline calendar so that no renewal or filing is ever missed. The position also provides broader compliance support, including vendor onboarding and serves as a key resource for field teams and cross-functional partners.

Responsibilities:                                                                                                                                             
  • Manage annual renewals of licenses and permits at all company locations, including preparing filings, tracking deadlines, and submitting required reports.
  • Conduct research and prepare, file and track applications for federal, state and local licenses and permits required to open and operate new sites.
  • Serve as a point of contact for field and cross-functional teams, responding to questions and requests related to license and permit and compliance.
  • Perform periodic audits and monitor ongoing compliance with federal, state and local requirements across all company locations.
  • Maintain and docket a calendar of license and permit deadlines, organizing supporting documentation to ensure timely, accurate reporting ahead of regulatory deadlines.
  • Manage the license and permit electronic database and physical record-keeping processes.
  • Assist with vendor master data management and support onboarding of new company vendors.
  • Support corporate compliance projects, including legal entity setup and management, Secretary of State and registered agent filings, tax compliance, and agency compliance.

Requirements:                                                                                                                                                
  • Experience in performing research and preparing filings, and ability to interpret legal requirements
  • Excellent customer service and communication skills, both over the phone and via email
  • Attention to detail in navigating official forms and documentation from various government entities
  • Strong organizational skills, and ability to work independently and exercise sound judgment
  • Be a strong team player willing to trouble-shoot and assist with last-minute issues as they arise
  • Proficiency in Microsoft Office (Word, Excel, SharePoint, etc.)
  • Knowledge of Smartsheet and SharePoint is a plus
  • Demonstrated experience in creating and implementing systems for increased efficiency

Education and Experience:                                                                                                  

Education: Bachelor’s Degree in Business Administration, Communication, Project Management, or related field; paralegal certificate or coursework in paralegal/legal studies a plus
                                                           
Experience: 2+ years in a paralegal, legal support, compliance, regulatory or license role preferred
