Job Description:
Hitachi Rail have the opportunity for an experienced document controller to join the team based from our Ashford Depot, as a Technical Document Controller. Working alongside the engineering team, focusing on the Class 395 fleet, the Technical Document Controller will be responsible for establishing, implementing and updating document control procedures, ensuring compliance with regulatory requirements and internal quality standards, and facilitating effective document retrieval and distribution across departments.
The Technical Document Controller will collaborate with various stakeholders to streamline document management processes, support project teams, and contribute to the organisations overall efficiency and compliance.
This is a fixed term contract - ending November 2027.
Role responsibilities include…
- Develop and implement document control procedures and processes to ensure efficient management of documents throughout their lifecycle.
- Establish and maintain a centralised document repository, ensuring proper categorization, version control, and access controls.
- Receive, review, and process incoming documents, ensuring accuracy, completeness, and adherence to established procedures.
- Coordinate document review, approval, and distribution processes, tracking the status and ensuring timely completion.
- Support project teams in document control activities, including document control plan development and implementation.
- Monitor and enforce compliance with relevant regulatory requirements, industry standards, and internal quality management systems.
- Conduct regular audits and inspections to verify document control procedures and identify areas for improvement.
- Collaborate with internal stakeholders to provide guidance and support on document management best practices.
- Train employees on document control processes, ensuring their understanding and adherence to established procedures.
- Ensure the security and confidentiality of sensitive documents, implementing appropriate access controls and data protection measures.
- Assist in the development and implementation of electronic document management systems (EDMS) and other document control tools.
- Generate and maintain document registers, logs, and tracking systems to monitor document status, revisions, and approvals.
- Retrieve and distribute documents as requested, ensuring proper version control and accurate recordkeeping.
- Participate in cross-functional teams to improve business processes, information sharing, and collaboration.
About you…
Essential
- Proven experience as a Document Controller or in a similar role, preferably within a regulated industry.
- Strong understanding of document control principles, standards, and best practices.
- Familiarity with regulatory requirements and compliance frameworks applicable to the organisation.
- Proficiency in using document management software, electronic document management systems (EDMS), and Microsoft Office Suite.
- Excellent attention to detail and organisational skills, with the ability to manage multiple tasks and prioritise effectively.
- Strong communication and interpersonal skills to collaborate with stakeholders at all levels.
- Ability to work independently and as part of a team in a fast-paced and deadline-driven environment.
- Analytical mind set with problem-solving abilities and a continuous improvement mind set.
- Knowledge of information security and data protection practices.
- Understanding of engineering or technical documents is a plus.
- Good written and verbal communication skills
- Able to represent Hitachi in a professional manner at all times
- Good team worker
Desirable
- Sound knowledge of, and compliance to, UK rolling stock rules and regulations
- An understanding of Project Management
