Contract /Temporary Assignment upto 12 months
We are seeking a highly motivated and detail-oriented Senior Portfolio Officer to join our Integrated Delivery division for a 12-month contract period. In this role, you will play a critical part in managing and supporting a diverse real estate portfolio valued at over $2 billion. You will lead project coordination efforts, including planning, estimating, and monitoring activities to ensure successful contract completion, while delivering exceptional portfolio administration services aligned with organizational objectives.

What will I be doing?
- Oversees review and processing of all outstanding invoices and receivables, including property utility bills, taxes, and rent, and follows up on delinquent payments.
- Oversee and manage the IT database systems and tools that support Metrolinx’s realty functions. Ensure new properties and real estate agreements (e.g., easements, licenses, leases etc.) are onboarded and relevant information is captured in accordance with approved processes and guidelines.
- Maintain integrity of data and systems in compliance with relevant standards, policies, and directives.
- Responsible for complex and sensitive negotiations with tenants, landlords, agents, brokers, and other real estate professionals to reach mutual agreement on accounts receivables/payables, property onboarding and offboarding processes and tenant relationships. Needs to display high level of discretion, collaborative and strategic decision-making, problem solving skills and confidentiality.
- Coordinates and manages day to day administrative tasks and delegates work. Has ability to manage a high quantity of tasks and manage competing deadlines including review and processing of all outstanding invoices and receivables property utilities, taxes, rent and additional rent and annual reconciliation of leases.
- Leads, oversees, directs, and manages the IT database systems and tools that support Metrolinx’s realty functions, including processes for all new property acquisitions and real estate agreements.
- Works closely with counterparts across the organization to ensure that realty contracts are managed properly in accordance with Metrolinx policies and Provincial directives.
- Liaises with internal and external stakeholders (e.g., government agencies, CN, CP, Infrastructure Ontario, realtors, surveyors, appraisers, lawyers, municipalities, regions, property managers and property owners) regarding properties.
- Builds strong client relationships with assigned business groups and operating divisions.
- Oversee property onboarding input across various Metrolinx business units to ensure all owned properties and associated contracts are entered into the database and Metrolinx systems.
- Maintains and updates corporate policies and procedures related to realty services and administration of real estate portfolio.
- Assist with monthly REM department wide KPI reporting on performance related metrics reported up SMT level.
- Responsible for collecting payments and funds from delinquent accounts/tenants, ensuring that payments are timely and accurate.
- Analyzes real estate data and prepares detailed financial reporting related to real estate assets and realty agreements to support informed decision making.
- Guides junior staff members with day-to-day administrative tasks; delivers timely feedback to ensure a cohesive operational unit and the optimum use of team skills; monitors work assignments.
- Coaches and mentors staff establishing expectations through active performance management; maintains adequate staff levels through recruitment, selection, and orientation.
- Other duties as assigned.
Completion of a university degree in Accounting, Business Administration, Commerce, Finance, Real Estate, or related field – or a combination of education, training and experience deemed equivalent.
Demonstrated training /progressive experience in contract administration, negotiations, appraisal and assessment or combination.
Completion of a recognized Real Estate Designation would be an asset
Working knowledge of real estate contracts, including agreements of purchase and sale, leases, easements, and licenses.
Knowledge of Provincial Realty Directive.
Interpersonal and oral/written/presentation skills to liaise with all levels within the organization; to work effectively with specialists across multiple sectors.
Interpersonal and mentoring skills with the ability to clearly articulate creative ideas and give direction to junior staff.
Proficiency in MS Office (e.g. Outlook, Word, Excel, PowerPoint, etc.)
