About the Role

The Position

Wellington Management Funds (“WMF”) Global Fund Services is responsible for all aspects of the operations for the WMF Global funds domiciled in Luxembourg, Ireland and Cayman and works alongside Product Development, Legal, Risk, Compliance and Governance to support all aspects of the funds business.

The Fund Reporting & Audit, EMEA Funds (“FR&A”) team is responsible for the oversight of annual audits and semi-annual financial reporting of the funds, as well as the financial activities, governance, and control framework of the Luxembourg Management Company. This includes robust oversight of third-party service providers and key financial reporting processes. The team’s remit also covers budgeting, expenses oversight, fixed administrative fee monitoring, regulatory filings, and the implementation of evolving reporting and governance requirements.

The successful candidate will act as a senior point of coordination across internal stakeholders, auditors, administrators, and other delegated service providers, while helping drive strong governance, control discipline, process enhancement, and high-quality deliverables. This position is designed to combine deep technical review with day-to-day coordination, prioritization, and oversight across the team’s deliverables.

Responsibilities

We are currently seeking to recruit an individual to play a key role in our FR&A team reporting into the manager in charge of the team, based in the Management Company’s Luxembourg office. The successful candidate will be part of a broader team located in Luxembourg, Boston, and London with the following responsibilities: 

Fund Financial Reporting and Audit Oversight

  • Lead the end-to-end audit process for the funds, acting as a primary point of contact for auditors and administrators and ensuring timely and efficient resolution of queries and deliverables.

  • Lead the review of annual, semi-annual, and ad hoc financial reporting deliverables, including financial statements, disclosures, and templates prepared by third-party administrators.

  • Provide senior technical oversight across Luxembourg GAAP, IFRS, and UCITS/AIFM regulatory requirements, ensuring accuracy, completeness, and compliance of financial reporting and disclosures.

  • Oversee the preparation and review of Self-Assessment Questionnaires and Separate Reports, coordinating inputs across internal teams and auditors.

  • Support the preparation of board materials, including financial statements, executive summaries, and representation letters, ensuring high-quality, clear, and audit-ready documentation.

  • Coordinate and review regulatory disclosures (e.g., remuneration reporting), ensuring alignment with evolving UCITS/AIFM requirements.

  • Maintain and continuously enhance the financial statement review framework to ensure robust control and documentation standards.

  • Review and oversee the calculation and payment of Luxembourg subscription tax (“taxe d’abonnement”), ensuring accuracy and regulatory compliance.

Management Company Oversight & Financial Control

  • Oversee financial reporting and accounting activities of the Luxembourg Management Company, ensuring completeness, accuracy, and compliance with applicable standards.

  • Provide independent review and challenge of the Management Company financial statements, disclosures, and reconciliations.

  • Review trial balances, budgets, and financial performance, identifying key variances and escalating issues as appropriate.

  • Coordinate inputs for Self-Assessment Questionnaires, Separate Reports, and other governance-related reporting exercises, including interaction with internal teams and external auditors.

  • Support the annual audit of the Management Company and coordinate quarterly and annual filing obligations following board approval and audit completion.

  • Contribute to the design and ongoing enhancement of the Management Company control framework.

Expenses, Budgeting & Operational Oversight

  • Support oversight of fund and Management Company budgets, expense forecasting, and fixed administrative fee monitoring.

  • Review reporting from expense service providers, including accruals, variances, and invoice tracking, ensuring appropriate challenge and escalation.  

  • Contribute to expense modelling and pro forma preparation for new fund launches.

Fund and Management Company Governance       

  • Lead the preparation of board materials, including financial statements, executive summaries, and representation letters, ensuring high-quality, clear, and audit-ready documentation, with a strong focus on clarity, transparency, and accuracy of communications and reporting.

  • Identify and drive process improvements, including opportunities for automation and enhanced reporting efficiency.

  • Lead or support projects related to regulatory change, business initiatives, and operational enhancements.

  • Promote continuous improvement of governance, reporting, and control frameworks.

  • Contribute to internal and external audit reviews and track remediation actions.

Vendor Due Diligence

  • Key Performance Indicator Monitoring and Reporting.

  • Maintain oversight of key processes performed by third-party vendors, ensuring adherence to defined service level agreements, contracts and control standards.

  • Completion of annual and periodic reviews of due diligence questionnaires of delegates and key vendors.

  • Annual review of service provider controls reports e.g. SOC1.

Business Support

Work on various tasks to support other business functions, this could include but not limited to:

  • Support the Fund Control function.

  • Lead or support projects related to regulatory change, business initiatives, and operational enhancements.

  • Ownership and identification of process enhancement projects to assess the effectiveness and viability in improving the Finance and Accounting Management & Corporate Services function.

  • Recognize areas of reporting inefficiency between the service providers and the Management Company and collaborate with the development of automated solutions.

  • Support broader efforts across the firm to assess critical vendor capabilities and business continuity processes.

Qualifications

The successful candidate is likely to have:

  • 3 - 5 years experience in fund accounting, financial reporting, audit, or a related function within asset management, management companies or audit firms.

  • Strong knowledge of Luxembourg GAAP, IFRS, and UCITS/AIFM regulatory frameworks.

  • Experience with Management Company oversight and regulatory reporting is highly desirable.

  • Strong analytical skills and attention to detail.

  • Strong Excel and data analysis skills, with proficiency in Microsoft Office applications (Word, PowerPoint, Outlook).

  • Excellent verbal and written communication skills.

  • Professional qualification (ACCA/ACA or equivalent) preferred, but relevant experience would be looked on favorably.

  • Strong analytical skills with attention to detail.

  • Proficient in Excel and other Microsoft Office tools (Word, PowerPoint, Outlook).

  • Team oriented attitude.

Our approach to compensation considers all aspects of total compensation; all employees are eligible to receive salary, variable compensation, and benefits. The base salary range for this position is:

EUR 60,000-130,000

This range takes into account the wide range of factors that are considered when making compensation decisions, including but not limited to skill sets; role; skills and experience; certifications; and education. This range is an estimate, and further details on salary and total compensation aspects will be shared with candidates during the recruitment process.
