Job Description
Overview
Gordon Rees Scully Mansukhani, a national law firm with offices in all 50 states, has an immediate opening for an onsite Administrative Assistant in its downtown Phoenix, AZ office. This is a full-time, onsite position. The Administrative Assistant supports the Regional Office Administrator in addressing operational needs, facilitates issue resolution, and contributes to an efficient and well-functioning office environment.
This role is ideal for someone who is highly organized, dependable, proactive and thrives working independently, takes ownership of responsibilities, and is comfortable acting as the in-office point person for a remote team. You will manage administrative and operational tasks that support attorneys and remote staff in the Phoenix office.
The ideal candidate is detail-oriented, professional, tech-savvy, and able to prioritize effectively.
Responsibilities:
- Open, scan, organize, and distribute incoming mail.
- Coordinate outgoing mail, certified mail, and package shipments.
- Maintain organization and appearance of the office space.
- Serve as the onsite liaison for vendors, building management, and deliveries.
- Assist attorneys and remote staff with administrative requests.
- Manage electronic filing, document organization, and data entry.
- Reserve and set up conference rooms for meetings, including assistance with technology for those participating virtually.
- Handle confidential information with professionalism and discretionMonitor office and breakroom supplies and place orders as needed.
- Support operational projects and process improvements as requested.
- Support security and emergency preparedness protocols.
- Perform other duties as assigned.
Qualifications:
- Four (4)-year college degree. A minimum of five (5) years of verified related work experience in a professional office. Comparable work experience may be substituted for educational requirements.
- Strong organizational skills are essential.
- Demonstration of good communication skills (written and verbal) and a command of the English language, including proper use of spelling and grammar.
- Must have solid computer skills including experience with word processing, spreadsheet, database and presentation programs.
- Ability to juggle multiple projects and respond quickly to changing priorities.
- Ability to evaluate problems and formulate successful solutions in a timely manner.
- Ability to work independently as needed with little or no direction.
