General Description:
Provides bilingual secretarial support to the office. Performs a variety of moderately complex work within established procedures and standard practices. Work is under general supervision and requires extensive coordination with others. Requires handling of sensitive information and dealing tactfully with the public. Contacts are made within and outside the organization and requires dealing tactfully and confidently with individuals on sensitive issues. Accuracy and exercise of sound judgment is required.Job Description:
Essential Job Functions:
Screens visitors, telephone calls and incoming mail, personally answering inquiries which in the employee's judgment do not require the supervisor's attention
Types, assembles, and disseminates reports, handbooks, correspondence, etc.
Acts as an information specialist regarding a variety of matters related to operations and policies
Maintains good rapport with internal and external stakeholders
Prepares reports and furnishes information requested from within and outside the organization
Performs clerical and routine work required to ensure the efficient operation of the office
Participates in orientations, family engagement meetings, and conferences for Spanish-speaking families for general support
Performs other duties as assigned

Data collection and report preparation under supervision, as requested
Equipment Operation:
Uses standard office equipment (telephone, computer, copier, and printer). Must be familiar with Google Suites (docs, sheets, email, drive).

Contacts are made within and outside the organization and requires dealing tactfully and confidently with individuals on sensitive issues.

Decisions are made in collaboration with Instructional Specialists and the Coordinator of Early Childhood Services.

The employee regularly works in an office environment. The noise level in the work environment is quiet to moderate.
Qualifications:
Working knowledge of office practices and procedures; the school or department's programs; business English and mathematics. Working skill in typing, operating personal computers, word-processing equipment or other automated office systems. Demonstrated ability to perform a variety of secretarial duties for one or more professionals; communicate effectively both orally and in writing; exercise judgment and work with all levels of the school or department.
Additional Job Requirements:
Must be bilingual in English and Spanish. Education, training or experience sufficient to demonstrate the required knowledge, skills, and abilities.
