The Senior Administrative Assistant is responsible for providing administrative support to the Vice President, Scientific Evidence & Policy Research and SEPR Leadership Team & Associates.
Responsibilities include but not limited to:
- Calendar coordination, including scheduling and arranging meetings with internal and external partners
- Maintaining calendars for VP and Sr. Leadership Team
- Coordinating conference room space
- Handling large group meetings and workshops (20-200 attendees), meetings/training sessions/workshops and Town Hall meetings, including location bookings, contracts, A/V services, meal and room services, guest support
- Coordinating travel arrangements (Domestic / International)
- Preparing expense reports
- Supporting SEPR remote based employees
- Tracking and amending purchase orders as needed
- Maintaining and updating organizational charts and rosters
- Executing processing of job requisitions and being part of the onboarding of employees
- Additional support will be required to back up the Executive Assistant to the CSO and Scientific Affairs administrative team
- Handling confidential business and HR matters (email, correspondence, files, documents) with the highest level of professionalism
- Supporting various administrative tasks related to initiation, ongoing support and close out of projects handled by the associates in the department and work reciprocally with other Scientific Affairs Administrative Assistants on projects, events, etc. as needed.
Qualifications
- Completion of a high school diploma is required (advanced education or training would be preferred)
- A minimum of four (4) years of administration experience is required
- Must possess strong verbal and written communication skills
- Must have the ability to prioritize and handle multiple priorities
- Proficiency in Microsoft Word and Microsoft Outlook is required
- Proficiency in utilizing and innovating on current technology platforms, including Excel, Outlook, PowerPoint, World, Concur, SharePoint, Yammer, Teams/Zoom, Global Connect, Workday, Our Source, eMarketplace
- Ability to use good judgment and work independently, under minimal supervision is required
- Strong interpersonal and teamwork skills are required
- Excellent communication skills are required
- Experience supporting a large organization is highly desired
- Ability to anticipate executive needs
- The individual selected will maintain security and confidentiality of highly sensitive documents such as presentations, memos and correspondence with high attention to detail
- This position will be in Titusville, NJ

The anticipated base pay range for this position is :
$52,500.00 - $84,525.00Additional Description for Pay Transparency:
Subject to the terms of their respective plans, employees are eligible to participate in the Company’s consolidated retirement plan (pension) and savings plan (401(k)).Subject to the terms of their respective policies and date of hire, employees are eligible for the following time off benefits:
Vacation –120 hours per calendar year
Sick time - 40 hours per calendar year; for employees who reside in the State of Colorado –48 hours per calendar year; for employees who reside in the State of Washington –56 hours per calendar year
Holiday pay, including Floating Holidays –13 days per calendar year
Work, Personal and Family Time - up to 40 hours per calendar year
Parental Leave – 480 hours within one year of the birth/adoption/foster care of a child
Bereavement Leave – 240 hours for an immediate family member: 40 hours for an extended family member per calendar year
Caregiver Leave – 80 hours in a 52-week rolling period10 days
