Job Description
The Program Management Intern supports the coordination and tracking of sales opportunities, manufacturer deal registrations, and cross-functional project activities. This role works closely with Sales, Engineering, and Manufacturing Partners to ensure opportunities are properly registered, monitored, and reported throughout the sales cycle while maintaining accurate data and supporting business operations through analysis and reporting. Key Responsibilities: Program Management Intern Monitor the company’s CRM system on a daily basis to identify newly created sales opportunities and ensure all eligible projects are submitted for manufacturer deal registration in a timely manner. Proactively engage with Account Managers to gather all required information needed for deal registration, including end-user details, bill of materials (BOM), and product quantities. Review project requirements and determine the appropriate manufacturers with whom the opportunity should be registered to maximize pricing protection and available incentives. Prepare and submit deal registration requests through manufacturer partner portals, ensuring all information is accurate, complete, and compliant with manufacturer requirements. Track and manage all submitted deal registrations from initial submission through final approval, maintaining continuous communication with manufacturers and distributor representatives as needed. Provide regular status updates to internal stakeholders regarding pending, approved, rejected, or expired deal registrations. Upon approval, obtain registered pricing and quotations from manufacturers or distributors and communicate the approved pricing to the Sales Team to support customer proposals and bid submissions. Maintain a centralized Excel tracking file for all registered opportunities, including registration numbers, approval dates, expiration dates, project values, manufacturers involved, and opportunity status. Monitor registration expiration dates and proactively coordinate renewal requests when necessary to maintain pricing protection throughout the sales cycle. Conduct monthly follow-ups with Account Managers to obtain updates on the status of registered opportunities. Support continuous improvement initiatives by identifying opportunities to streamline deal registration processes, improve tracking accuracy, and increase visibility into registered opportunities. Maintain accurate records and documentation related to all deal registrations, ensuring information is current, organized, and readily available for internal reporting and audits. Preferred Skills Intermediate to Advanced Microsoft Excel skills, including Pivot Tables, data analysis, filtering, and reporting. Strong organizational and time management skills with the ability to manage multiple opportunities simultaneously. High attention to detail and data accuracy. Ability to collaborate effectively with Sales, Engineering, Manufacturers, and Distribution Partners. Experience working with CRM platforms such as Dynamics 365 or similar systems is preferred.
