
Secretary to the Director of Athletics
Job Description

POSITION: Secretary to the Director of Athletics
SCHEDULE: 8 hours/day - 5 days/week - 44 weeks/year
Essential Job Functions:
- Serves as secretary to Director of Athletics.
- Assist in the scheduling of athletic events.
- Arrange for game workers.
- Complete athletic contracts for schools and officials.
- May require attendance at evening athletic events.
- Answers routine phone inquiries, takes messages, routes calls.
- Maintain accurate files, records and accounts.
- Schedule transportation and officials.
- Order, process and maintain materials and equipment.
- Assist in preparation of reports and related departmental requirements.
- Process financial vouchers for payroll and athletic purposes.
- Opens and distributes mail.
- Types, prepares, distributes, records, reports, correspondence, etc.
- Handling of cash and credit card payments on a regular basis along with preparing the deposit.
- Regular, reliable and punctual attendance
- Other duties as assigned by the Superintendent or his/her designee.
PREPARATION, TRAINING, EDUCATION, AND EXPERIENCE:
- Post high school education in the field of secretarial skills and procedures or three years to five years successful experience as a secretary required.
- Associates degree preferred.
- Experience working with computers, required.
- Working knowledge of Windows based programs required.
- Willing and able to learn the district's e-mail, student records, payroll, and financial systems.
- Excellent customer service and communication skills (verbal and written).
- Ability to work independently with minimal direction.
- Excellent organizational skills, including filing and record maintenance.
- Ability to participate as a team member in a diverse environment.
- Work well with all employees, parents, students and community members
- Evidence of leadership ability.
- Respect for confidentiality of information.
- Able to handle diverse projects, be flexible and take initiative.
- Demonstrated ability to work well in high stress situations.
- Ability to work in an economically, culturally and racially diverse environment.

- Work Environment: The noise level in the work environment is usually loud to moderate.
- Mental Functions: While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile and negotiate.
