Payroll & Benefits Analyst

 
Reports to: Director of Human Resources 
Location: Emsworth
Hours: Salaried Exempt, flexible to meet the needs of program 
 
MISSION AND NEED: Holy Family Institute (HFI) is a 125-year-old Catholic organization with an impeccable history of serving children and families in the Pittsburgh Region. We are one of Pittsburgh’s largest social service organizations operating 15 programs in three counties. We are an independent organization guided by Catholic Social Teachings and serving people of all faiths and backgrounds. 
 
Essential Duties and Responsibilities: Responsible for providing comprehensive payroll and benefits administration by processing accurate, timely payroll; ensuring compliance with all applicable laws and regulations; and managing employee benefits programs, including health, retirement, and leave. Serves as a key liaison between employees, management, and third-party vendors, handling audits, reporting, and issue resolution while maintaining strong regulatory knowledge and improving processes. Additionally supports employees through enrollment, training, and ongoing communication, while delivering data-driven insights to leadership.
 
General Statement of Duties: 
  • Manage full-cycle payroll: process payroll accurately/on time, issue payments, and handle adjustments, voids, and reconciliations
  • Ensure compliance with federal, state, and local payroll and benefits regulations; maintain knowledge of key laws (ERISA, FMLA, COBRA, ACA, etc.)
  • Administer employee benefits programs (health, retirement, leave), including onboarding, open enrollment, and ongoing employee support
  • Lead 401(k) administration: coordinate committee materials, manage audits, and work with advisors/recordkeepers
  • Oversee leave management, workers’ compensation claims, and coordination with third-party vendors
  • Audit and analyze payroll/benefits data, prepare reports, and present insights to leadership
  • Manage vendor relationships, reconcile invoices, and ensure accurate, timely payments
  • Conduct compliance reporting and audits; recommend process improvements based on findings
  • Support HR functions including new hire training and employee communications on benefits
  • Maintain strict confidentiality of sensitive employee and organizational information
Requirements:
  • Bachelor’s degree in Human Resources, Accounting, Business, or a related field. 
  • Minimum of 3 years’ experience with benefits administration, Human Resources, or a similar role.
  • SHRM Certification preferred but not required.
  • Proficiency with HRIS systems and Microsoft Office (specifically excel).
  • Candidate must have excellent communication skills in English (read, write, and speak). 
  • Attention to detail and problem-solving skills.
  • Must be 21 years of age or older
  • Must have or be able to obtain Act 33, 34 and FBI Clearances. 
  • Must have a valid PA driver’s license
 
Physical Requirements
  • Ability to perform the essential job functions consistently, safely and successfully with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.  
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards. 
  • Must be able to follow process for crisis and behavior de-escalation techniques as taught by the program. 
  • Must be able to talk, listen and speak clearly on telephone.

Pay Range: $58,000 - $63,000 per hour
