Purpose of the Role
BGIS is seeking a motivated and detail-oriented Business Administrator to support a complex, high-compliance portfolio within a secure government environment.
Reporting to the Contracts Support Officer, you will provide essential administrative and operational support to the Technical Asset Management (TAM) team. Your work will directly contribute to maintaining compliance, supporting asset management processes, and ensuring the smooth delivery of planned maintenance programs.
This role is ideal for someone who is highly organised, proactive, and enjoys working across multiple priorities in a fast-paced environment. You’re someone who asks questions, takes initiative, and thrives on keeping things running efficiently.
Key Responsibilities
- Maintain compliance calendars, registers, and documentation to support statutory requirements
- Generate and manage Planned Preventative Maintenance (PPM) work orders
- Maintain and update asset registers within CMMS systems
- Audit service reports, identify issues, and escalate where required
- Support data integrity through regular updates, reporting, and system management
- Assist with financial processes including invoice reviews, purchase orders, and variation tracking
- Prepare reports, extract asset data, and support audit requirements
- Coordinate with internal teams and external vendors to ensure service delivery standards are met
Education, Experience & Skills
Essential:
- Strong administrative experience in a fast-paced environment
- High level proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)
- Excellent organisational skills with the ability to manage competing priorities
- Strong attention to detail and data accuracy
- Effective communication skills with a collaborative approach
- Ability to work both independently and within a team
Desirable:
- Experience in facilities management, asset management, or compliance-driven environments
- Familiarity with CMMS or asset management systems
- Exposure to financial administration processes (invoicing, variations, procurement)
Workplace Flexibility
This is a permanent, part-time position (20 hours per week, Monday to Friday) based fully on-site.
