About the department


Franklin Templeton International Services S.à.r.l. is seeking an organised and proactive Office Administration and Reception professional to support the smooth day-to-day running of our Luxembourg office in Kirchberg.
This is a varied, hands-on role that combines front-of-house responsibilities with office coordination, travel support, event assistance, health and safety
administration, and broader operational support to staff and management.


How You Will Add Value

  • Manage incoming and outgoing mail, including registered post, DHL shipments, couriers, phone calls, and general reception duties.

  • Help coordinate travel arrangements including flights, trains, hotels, taxis, and travel schedules, working with BCD Travel where
    required.

  • Book meeting rooms and offices, allocate visitor parking, arrange lunches and refreshments, prepare meeting spaces, and ensure rooms are cleared and reset after use.

  • Support daily and weekly office operations, including conducting officer tracking, invoice checking and approval, supplier ordering, and maintaining a tidy and professional office environment.

  • Administer access badges for visitors and new starters, manage replacements for lost or damaged cards, and prepare quarterly
    access reports for Belgian residents for tax
    purposes.

  • Handle monthly and ad hoc orders for office, kitchen, coffee, and water supplies, liaising with external suppliers and service providers.

  • Respond to ad hoc staff and management requests, including
    document printing,
    scanning, signature coordination, and support for requests from other offices.

  • Support the Health & Safety Officer for the site, coordinating evacuation procedures.

  • Support a range of administrative and regulatory processes.


What Will Help You Be Successful In This Role

  • Previous experience in office administration, reception, team and events support, or a similar coordination role is helpful.

  • You learn quickly, stay calm under pressure, and are comfortable managing a wide variety of tasks at the same time.

  • You are highly organised, dependable, and service-oriented, with strong attention to detail and a practical, hands-on approach.

  • You communicate confidently with colleagues, visitors, suppliers, and senior stakeholders, and you enjoy being a key point of contact within the office.
