Specific Responsibilities

Administrative and Office Support

  • Enter, edit, and maintain data in systems, including preparation of reports, spreadsheets, and documents.
  • Operate multi-line switchboard, direct calls, take messages, and manage incoming communications (mail, email, courier).
  • Greet and assist visitors, ensuring proper security and safety check-in procedures.
  • Maintain and order office supplies, equipment, and inventory; coordinate maintenance of office equipment (printers, copiers, etc.).
  • Assist with basic building maintenance coordination and liaise with external vendors (HVAC, pest control, snow removal, etc.).
  • Assist with onboarding, training coordination, and record maintenance for new hires.

Financial & Purchasing Support

  • Complete Moneris charges
  • Review and verify invoices, purchase orders, waybills, and receipts.
  • Support Accounts Payable and Accounts Receivable documentation and processing.
  • Order supplies and equipment through internal systems and liaise with purchasing/receiving departments.
  • Manage invoicing processes, including corrections, monthly billing, and client chargebacks.

Laboratory Information Management (LIMS) & Data Management

  • Perform detailed login checks for all incoming work orders, ensuring accuracy of account details, sample information, documentation, and reporting requirements.
  • Create, update, and maintain LIMS client accounts, assignments, and account notes.
  • Enter client-provided data and field parameters into LIMS.
  • Monitor and update sample status, including tracking lost, missing, archived, or on-hold samples.
  • Add and maintain login qualifiers, sample integrity observations, and work order details.
  • Maintain electronic filing systems for client communications and documentation.
  • Prepare and coordinate due lists for Project Managers and monitor data status (e.g., rush, recheck, held, missing).

Sample & Client Service Support

  • Prepare and process client bottle requests and maintain chain-of-custody (COC) documentation and labels.
  • Confirm shipping and receiving of client samples and materials.
  • Respond to client inquiries, provide status updates, and process requests for information.
  • Assist in the preparation, maintenance and control of quality records, SOPs, documents, and registers;
  • Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;
  • Maintain a positive work environment through active team participation and a focus on quality customer service
  • Observe established safety regulations and comply with all ALS health and safety policies and procedures;
  • Other duties as assigned.

Required Knowledge, Skills & Abilities

  • Strong customer service and client-focused mindset

  • Demonstrated ability to manage multiple priorities in a fast-paced environment
  • Proven ability to work independently and collaboratively within a team
  • Proficiency with Microsoft Word and Excel; working knowledge of LIMS is an asset
  • Positive, adaptable, and solutions-oriented approach

Required Qualifications

  • Completion of Grade 12;
  • Minimum of 2 years office related experience;
  • Completion of an office administration certificate or diploma preferred.

Physical Demands

  • Ability to perform general office duties in a primarily desk-based environment with periods of sitting and computer work
  • Manual dexterity required for repetitive, detail-oriented tasks such as data entry and document handling
  • Capability to lift up to 10 lbs regularly (and occasionally more with assistance) and carry items over short distances
  • Ability to alternate between sitting, standing, walking, and bending throughout the workday
  • Occasional exposure to strong or unpleasant odours associated with laboratory samples

Flexibility to work variable shifts, including weekends, as part of a 24/7 operational environment

Our Benefits Include

  • An estimated hourly pay of $21.01 CAD at the time of posting. Individual compensation is determined by factors such as job-related skills, relevant experience, education and/or training.
