The Regional Human Resources Specialist provides direct administrative and operational support to the HR function and site leadership within a specific region. This role involves assisting with daily HR activities, including supporting the hiring process, managing onboarding, maintaining HRIS, generating reports, and providing employee support. Under the guidance of the HR Manager, the HR Specialist ensures that HR processes are executed accurately, confidentially, and in compliance with company policies and applicable laws.

Job Function
Essential Functions
- Partner with the Recruitment Specialist to execute the recruitment process, while maintaining clear role delineation, with the Recruiting Specialist owning job postings, sourcing, pipeline, candidate prescreening and communication, while the Regional HR Specialist owns onsite interviews, hiring manager alignment, hiring decision and post-offer onboarding activities.
- Prepare and coordinate pre-employment documentation, drug testing, and background checks.
- Ensure Day 1 readiness, including onboarding logistics and timely completion of employment and compliance documentation.
- Conduct new hire orientation and ensure all onboarding documentation is complete and accurate.
- Enter, update, and maintain employee data in HR systems (Dayforce) and ensure accuracy of employee records.
- Maintain employment documentation, including compliance records (e.g., MVR recertification), ensuring completeness and audit readiness.
- Review timesheets, payroll registers, and employee record changes for accuracy, compliance, and reasonableness.
- Support PTO tracking, job code accuracy, wage changes, and payroll adjustments.
- Coordinate with payroll on garnishments, deductions, bonuses/incentives, and corrections to ensure accurate processing.
- Ensure compensation changes and wage increases are properly documented, approved, and processed.
- Support execution of performance management processes, including tracking, documentation, and coordination of administrative requirements.
- Assist managers with disciplinary documentation under HR Manager guidance.
- Respond to routine employee questions and concerns, escalating complex or sensitive matters as appropriate.
- Support resolution of employee relations issues in partnership with HR Manager.
- Communicate and reinforce HR policies and procedures, escalating interpretation or complex inquiries as needed. Support compliance with labor laws, collective bargaining agreements, DOT requirements, and internal audits through accurate recordkeeping and process adherence.
- Assist with benefits administration, including employee inquiries and enrollment support.
- Support annual open enrollment and wellness initiatives by communicating key information and providing materials.
- Identify and escalate development gaps, performance concerns, or succession risks to HR Manager for follow-up and action planning.
- Coordinate offboarding activities and ensure completion of exit documentation.
- Provide cross-coverage and support to other Regional HR Specialists as needed to ensure continuity of HR operations.

Required Skills
Required and Preferred Qualifications
- High School diploma/GED required, Bachelor degree preferred.
- 0-5 years of relevant experience or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities required; Prior Human Resources experience preferred
- Bilingual English/Spanish preferred
- Excellent customer service/human relations skills
- Prior HRIS data entry and reporting experience preferred
- Ability to multi-task, prioritize, and manage time effectively required.
- Ability to exercise discretion when handling sensitive/confidential employment information required.
- Understanding of basic concepts and principles pertinent to Human Resources management operations required.
- Excellent oral and written communication skills required.
- Strong analytical and problem-solving skills required.
- Ability to make sound decisions based on a combination of factors including analysis, knowledge and experience, and judgment required.
- Ability to initiate and maintain cooperative relationships with co-workers as well as internal/external customers required.
- Strong computer proficiency and working knowledge of Microsoft applications (Excel, Word, PowerPoint), as well as general HR software platforms and internet-based search engines required.
Compensation Range
The anticipated compensation for this position is USD $26.64/Yr. - USD $31.25/Yr. depending on experience, qualifications, and location.
