The Role - Passport Health is seeking a highly organized and customer-focused Medical Assistant (MA) or experienced Administrative Coordinator to support our travel medicine and immigration services. This role is ideal for someone with either a strong clinical support background or a proven administrative background in a healthcare, customer service, or professional office setting.

This position serves as a key member of the clinic team, helping create a seamless patient experience through a combination of patient support, administrative coordination, office management, and operational assistance. Depending on qualifications and certifications, responsibilities may include assisting with clinical services, patient intake, documentation management, scheduling, inventory management, and front-office operations.

Location(s): Local travel is expected between offices listed below to support staffing needs. We will do what we can to accommodate a consistent schedule, but business needs may require adjustments when necessary.
  • Primary Location: Cherry Creek, CO
  • Secondary Location: Greenwood Village, CO (2 times per month)
Compensation & Schedule
  • Pay: $23.00 - $24.00 per hour (based on experience and qualifications)
  • Schedule: Monday – Friday, Full-Time, 40 hours per week
  • Shifts: 8-hour shifts only; flexibility with start times may be required based on business needs
Primary Responsibilities:
Patient Experience & Administrative Support
  • Greet and assist patients while delivering exceptional customer service.
  • Schedule appointments and coordinate patient flow throughout the day.
  • Collect, scan, and upload required patient documentation into electronic systems.
  • Generate invoices and process client payments.
  • Prepare patient charts and documentation for physician appointments.
  • Support physicians, nurses, and clinical staff with administrative tasks.
  • Assist with answering phones, responding to inquiries, and resolving customer concerns.
  • Serve as a primary point of contact for patients completing travel health, immunization, and immigration-related services.
  • Coordinate follow-up appointments and maintain accurate patient records.
Clinical Support (for qualified Medical Assistants)
  • Obtain and document patient medical histories and intake information.
  • Prepare examination rooms and assist providers during patient visits.
  • Assist with immigration physicals, travel consultations, and immunization services.
  • Perform venipuncture and specimen collection, if qualified and required in the market.
  • Administer vaccines and medications as permitted by state regulations and certifications.
  • Monitor patients following vaccine administration and report concerns to the provider.
  • Maintain compliance with clinical protocols, infection control standards, and company policies.
Office Management & Operations
  • Manage and restock clinic inventory, including medical supplies, vaccines, and office materials.
  • Coordinate supply ordering and inventory tracking.
  • Maintain cleanliness, organization, and professional presentation of clinic and reception areas.
  • Receive and process clinic shipments and deliveries.
  • Support daily operational needs to ensure efficient clinic performance.
  • Assist with community outreach and business development initiatives as assigned.
Patient Communication
  • Communicate professionally and effectively with patients, providers, and team members.
  • Provide clear instructions regarding appointments, documentation requirements, and follow-up care.
  • Address patient questions and concerns in a timely and professional manner.
  • Help ensure a positive and welcoming experience for every patient interaction.
Required Qualifications: 
  • High school diploma or equivalent.
  • Minimum 1 year of experience in one of the following:
  • Medical Assistant role
  • Healthcare administration
  • Medical reception/front office
  • Customer service or administrative support role in a professional environment
  • Strong computer skills and comfort learning new systems.
  • Excellent organizational, communication, and customer service skills.
  • Reliable transportation and ability to travel between clinic locations as needed.
Preferred Qualifications:
  • Medical Assistant certification.
  • Experience working in a healthcare or medical office environment.
  • Experience with EMR/EHR systems.
  • Venipuncture experience.
  • Bilingual Spanish.
