JOB SUMMARY
Job Profile SummarySupervises the day-to-day execution of facility operations to ensure safe, reliable, and efficient building maintenance and workplace services. Provides direction to a small team responsible for maintaining facilities, coordinating maintenance activities, and supporting operational needs across office and field locations. Ensures work is performed in accordance with established procedures, safety standards, and regulatory requirements. Focuses on immediate operational objectives, maintaining facility functionality, supporting service delivery, and identifying opportunities for incremental process and service improvements.
Essential Functions and Responsibilities
- Facility Operations & Maintenance
- Oversee daily facility operations, including preventative maintenance, repairs, and general upkeep of buildings and infrastructure.
- Ensure proper functioning of building systems such as HVAC, electrical, plumbing, and safety systems.
- Coordinate maintenance schedules, vendor services, and work orders to support uninterrupted operations.
- Monitor facility conditions and address issues promptly to maintain a safe and functional work environment.
- Health, Safety & Compliance
- Ensure compliance with applicable health, safety, environmental, and regulatory requirements (e.g., OSHA standards).
- Support implementation of safety procedures, inspections, and corrective actions within facilities.
- Maintain documentation related to inspections, maintenance activities, and compliance requirements.
- Promote a safe work environment and ensure adherence to safety policies and procedures.
- Operations & Process Execution
- Lead day-to-day workflow prioritization, scheduling, and execution of facility-related tasks and services.
- Ensure adherence to established maintenance procedures, service standards, and operational guidelines.
- Identify and recommend minor improvements to facility processes, vendor coordination, and service delivery.
- Monitor work order completion, service quality, and operational performance metrics.
- Vendor & Service Coordination
- Coordinate with external vendors and service providers for maintenance, repair, and facility services.
- Ensure vendor work is completed in accordance with contracts, service agreements, and company standards.
- Track vendor performance and escalate issues as needed to ensure service quality.
- Support procurement and coordination of facility-related supplies and services.
- Stakeholder Support
- Partner with internal stakeholders to address facility needs, workspace issues, and operational requests.
- Communicate service updates, maintenance schedules, and facility-related information to employees and leadership.
- Provide responsive support to ensure workplace functionality and employee experience.
- Assist in coordinating moves, space planning, and facility adjustments within defined scope.
- Data & Reporting
- Ensure accurate tracking of work orders, maintenance activities, and facility performance metrics.
- Maintain records of inspections, repairs, and compliance activities to support audit readiness.
- Prepare reports on facility operations, service levels, and maintenance trends as needed.
- Identify trends in facility issues to support improvements within the team’s scope.
- Leadership & Team Supervision
- Provide day-to-day supervision, work direction, and task prioritization for facility staff or contractors.
- Monitor team performance, provide coaching, and support employee development.
- Contribute input to hiring, performance management, and staffing decisions.
- Foster a service-oriented, safety-focused, and accountable work environment.
- Responsibilities may include Department of Transportation (DOT) covered functions, including operations, maintenance, or emergency response on a pipeline. Job duties also require the employee to be alert and respond immediately to dangerous or hazardous conditions, and where impaired performance, or failure to follow safety precautions, could result in serious injury or property damage.
Education
- High school diploma or equivalent typically required.
- Associate’s or Bachelor’s degree in Facilities Management, Business, Engineering, or related field preferred
Work Experience
- 4+ years of relevant experience in facility operations, building maintenance, or related field.
- Experience in coordinating maintenance activities and vendor services preferred.
- Prior experience providing work direction, mentoring, or informal leadership preferred.
- Experience in industrial, energy, or office facility environments preferred.
- Equivalent industry experience may be considered.
Knowledge, Skills and Abilities
- Knowledge of facility operations, maintenance practices, and building systems (HVAC, electrical, plumbing).
- Knowledge of health, safety, and environmental regulations applicable to facilities operations.
- Knowledge of vendor management processes and service agreements.
- Knowledge of facility management systems, work order tracking, and maintenance planning.
- Strong organizational and coordination skills to manage multiple facility activities and priorities.
- Problem-solving skills to address maintenance issues and operational challenges.
- Effective communication skills for interacting with teams, vendors, and stakeholders.
- Ability to monitor service quality and ensure completion of work within established timelines.
- Proficiency with basic computer systems and facility management tools.
- Ability to supervise and direct day-to-day facility operations and team activities.
- Ability to identify and resolve general facility issues and escalate complex problems appropriately.
- Ability to coordinate with vendors and internal teams to maintain operational continuity.
- Ability to apply established processes while recommending incremental improvements.
- Ability to maintain focus on safety, compliance, and service quality.
Licenses and Certifications
- None required
- Relevant certifications such as Certified Facility Manager (CFM), Facility Management Professional (FMP), or trade certifications preferred.
