Job Requirements

Summary / Objective

We are seeking a highly organized and proactive Administrative Assistant to join our team. This individual will play a crucial role in supporting both the Office Administrator and the Human Resources Department. The Administrative Assistant will be responsible for performing a variety of administrative tasks to ensure the smooth operation of our office environment while also supporting HR-related activities. The successful candidate will be a key asset in fostering a productive and welcoming workplace.


Essential Functions

Administrative Support:

Assist the Office Administrator with daily office operations.

Provide general administrative support such as filing, data entry, answering phone calls, and managing correspondence.


Human Resources Support:

Assist with the recruitment process, including posting job ads, scheduling interviews, conducting interviews for entry-level positions, and preparing hiring documents.

Assist with processing terminations.

Support the onboarding process for new hires by coordinating orientation schedules and preparing onboarding materials.

Maintain confidential employee records and ensure they are up to date.

Assist in coordinating HR-related meetings and training, including logistics, materials, and follow-up actions.

Meeting and Visitor Support:

Help prepare the office for customer visits and meetings, ensuring a professional and welcoming environment.

Organize and prepare for HR and administrative meetings, including drafting agendas, taking minutes, and tracking action items.

Assist in arranging meeting rooms, refreshments, and materials required for presentations.

Greet and assist visitors, contributing to a positive first impression of the company

Process Improvement:

Work closely with the Office Administrator and HR Department to identify and implement process improvements to enhance office and HR operations.

Marketing & Communication Support:

Collaborate with the Office Administrator on marketing and communication projects by obtaining marketing materials for initiatives and ensuring proper company branding.

Assist with the creation and preparation of materials - slides and proposals, including proofreading and copying/binding

Assist with special projects and initiatives as required.


PPE Requirements and Safety Rules

Eye protection is required everywhere in the plant

Hearing protection is required when crossing the blue lines that are painted on the floor, heading towards the machine

Safety-toed shoes or boots are required everywhere in the plant.

Job Knowledge, Skills and Abilities

Some experience or coursework in human resources, business administration, or a related field is a plus, but not required.

Familiarity with general office and HR practices and procedures.

Excellent organizational and time-management skills.

Strong communication and interpersonal abilities.

Proficiency in Microsoft Office Suite, with strong Excel skills (data entry, formulas, and spreadsheet organization).

Ability to multitask and prioritize tasks effectively.

High level of discretion and professionalism in handling confidential information.

Eagerness to learn and grow within the Human Resources field, with an energetic, team-oriented approach that contributes to a positive workplace culture.


Education and Experience

High School diploma required; further education or certification in Human Resources is a plus.

Previous experience in an administrative and/or HR role preferred.

The physical demands described here are representative of those that an employee must meet to successfully perform the essential duties/functions of this job.

While performing the duties of this job, the HR Coordinator must regularly talk or hear conversations in a "normal" speaking voice. The work is

primarily sedentary, though slight physical effort may be required. Frequent standing and/or walking, use of arms, hands and fingers in daily activity, and reaching with hands and arms are often required.

Position Type and Expected Hours of Work

This is a full-time position, and general hours of work are 8:00 a.m. to 5:00 p.m., Monday through Friday.
