
HR Specialist
Job Description
Job Description: The Human Resources Specialist supports the organization's HR functions by assisting with recruitment, onboarding, employee relations, training coordination, benefits administration, compliance, and personnel record management. This position serves as a key resource for employees and managers, ensuring HR processes are executed efficiently and in accordance with company policies and applicable regulations. The HR Specialist will also provide administrative and operational support to the broader Operations team as needed to support organizational goals and business continuity.

Employment Type: Full-Time, Exempt
Reports To: Director of Business Operations
Salary Range: $45,000 - $55,000 annually
Duties:
- Coordinate full-cycle recruitment activities, including posting job openings, screening resumes, scheduling and conducting initial phone screens, and supporting hiring managers throughout the selection process.
- Facilitate new employee onboarding and orientation, including preparation of onboarding documentation, I-9 verification, and coordination with IT and facilities to ensure a smooth first-day experience.
- Maintain accurate and compliant employee personnel files and HR records, ensuring data integrity and confidentiality at all times.
- Support benefits administration, including open enrollment, employee plan inquiries, and coordination with benefits carriers and the payroll team.
- Coordinate training logistics, track completion, ensure on-time compliance and maintain training records in the HCM system.
- Process employee status changes in the HCM system, including promotions, transfers, compensation adjustments, and terminations, ensuring accuracy and timely completion.
- Run standard HR reports from the HRIS to support headcount tracking, turnover analysis, and management requests.
- Conduct periodic audits of personnel files to verify completeness, accuracy, and compliance with applicable recordkeeping requirements.
- Conduct exit interviews, compile feedback for HR leadership, and process offboarding paperwork including benefits termination coordination and final pay documentation.
- Support the annual performance review cycle by distributing materials, sending completion reminders, tracking submission status, and filing completed evaluations.
- Support various functions within the Operations team as needed, contributing to cross-functional initiatives and providing assistance with administrative, compliance, and business operations activities.
Required Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 2–3 years of experience in human resources, recruiting, or a related administrative role.
- Strong written and verbal communication skills, with the ability to interact professionally with employees at all levels.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a deadline-driven environment.
- Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams).
- Professional demeanor, punctuality, and discretion with sensitive information.
- US Citizenship Required
Preferred Qualifications:
- Knowledge of the iSolved HCM and ApplicantPro platform and/or familiarity with similar HCM platforms
- Experience supporting a corporate or government contracting environment
- Experience managing employee onboarding documentation and maintaining compliant personnel records.
