Job Description

Senior Executive

The Senior Executive at the University Counselling Centre (UCC) plays a pivotal role in ensuring the efficient and effective functioning of the centre. This role exists to support the administration and management of professional counselling/psychological services and resources at UCC.

It serves to coordinate mental health practitioners’ case assignments, collect and compile data and reports, and execute the day-to-day operations of the centre.

The role also serves as the initial point of contact for students seeking counselling/psychological services, creating a welcoming and supportive atmosphere while also ensuring that counselling/psychological services are organised, data-driven and aligned to promoting student wellbeing.

Key Responsibilities:

Client Service

  • Respond promptly and professionally to student and stakeholder enquiries via phone, email or in-person visits.

  • Provide accurate information about counselling/psychological services and appointment scheduling.

  • Maintain a positive and welcoming atmosphere at the front desk.

Case Assignment Coordination

  • Assign cases to mental health practitioners efficiently and in a timely manner based on availability and need.

Reception and Operations

  • Manage the front-facing reception, including scheduling appointments and maintaining calendars.

  • Coordinate logistics for workshops, seminars and events hosted by UCC/University Wellbeing Office (UWO).

  • Manage UCC daily operations smoothly and efficiently.

Administrative Support

  • Monitor and manage UCC’s facilities and equipment to ensure proper maintenance and address any issues or repairs related to facilities and equipment.

  • Support the implementation and maintenance of technology solutions and software applications to enhance operational efficiency and data management.

  • Assist with administrative tasks such as managing supplies and budgeting.

Data Compilation and Analysis

  • Gather and compile data related to counselling/psychological sessions, student demographics and feedback.

  • Assist in analysing data to identify trends, generate regular reports, and make recommendations for service enhancement.

Requirements:

  • Minimum qualification of a good diploma with at least 3 years of relevant work experience, or a degree from a recognised university. Preferred fields include psychology, counselling, social work, education, or other related disciplines.

  • 1-3 years of experience working in an administrative role in an educational, mental health or social service setting.

  • Experience in data collection, analysis, and reporting is valuable.

  • Possess effective organisation and time management skills

  • Possess strong problem-solving skills

  • Possess good interpersonal and communication skills

  • Proficient in IT skills (e.g. Microsoft 365, use of Apps, appointment booking systems, case management systems)
