Job Description
Novocure is a global publicly-traded commercial-stage oncology company developing a profoundly different cancer treatment therapy called Tumor Treating Fields (TTFields) for patients with solid tumors. TTFields therapy is a non-invasive, novel, antimitotic treatment modality which utilizes proprietary technology attempting to slow or reverse tumor progression by inducing tumor cell death. Novocure's commercialized product, Optune, is approved for the treatment of adult patients with glioblastoma (GBM) in the USA, Europe and Israel. Novocure has ongoing or completed clinical trials and is further expanding its efforts into several other solid tumor indications - non-small cell lung cancer, pancreatic cancer and other types of solid cancers.
ABOUT THE ROLE
This is a part time (0.8 FTE) role tied to the Krakow office reporting to the Head of Human Resources Operations EMEA. We offer 32 hours of work for a fixed-term contract of 6 months. It is a hybrid role with a combined time working from the office and from home.
The HR Administrator EMEA provides administrative support to the HR EMEA team with a primary focus on document creation, processing, and record management. The role supports HR Operations, HR Business Partners, line managers and employees across EMEA with administrative queries and coordination activities. The HR Administrator manages core administrative processes, mailbox coordination and time tracking administration, ensuring accuracy, timeliness and compliance.
Responsibilities:
- Prepare and process standard HR documents including employee personnel forms, reference letters, job descriptions, confirmations of employment, spot bonus letters, and sales incentive letters.
- Ensure accuracy, consistency and adherence to company templates and guidelines.
- Manage the preparation and tracking of documents for signature (e.g. DocuSign or equivalent tools).
- Maintain organized document storage and filing (electronic employee files and shared folders).
- Support administrative tasks related to employee lifecycle processes (entries, exits, changes).
- Coordinate standard documentation requests for onboarding and offboarding.
- Respond to administrative HR queries from employees, managers and HR stakeholders.
- Collaborate closely with HR Business Partners and HR Operations to ensure smooth process execution.
- Provide flexible support to broader HR activities depending on business needs.
- Support administrative activities in HR systems (e.g. SuccessFactors, Aconso).
- Administer and maintain the TimeTac time tracking system (e.g. set up new users, update employee data, support basic reporting and data checks).
- Ensure data accuracy and escalate system issues where required.
- Maintain and archive employee records in line with internal policies and audit requirements.
- Ensure personnel files are complete, accurate and up to date.
- Support document retrieval for audits and internal reviews.
- Support HR Operations with administrative aspects of audits (e.g. document collection).
- Assist in recurring HR processes as needed (e.g. document preparation, tracking lists).
- Participate in HR process improvement initiatives, particularly in document automation and standardization.
- Provide administrative support to HR-related projects as assigned.
- Monitor and manage the HR EMEA shared mailbox, triage incoming requests, ensure timely responses or appropriate routing.
- Process A1 applications and manage submissions with relevant authorities.
- Support coordination of HR communications and document distribution.
- Provide general administrative support to the HR EMEA team (e.g. templates, trackers, reports).
- Act as a first point of contact for routine HR administrative requests.
Requirements:
- Good MS Office skills (Word, Excel, Outlook).
- Bachelor’s degree or conscientious final-year student in Human Resources, People Management, or a related field would be advantageous.
- Initial experience in HR administration or administrative roles would be a plus.
- Fluent in English; German or additional European languages advantageous.
- High attention to detail and strong organizational skills.
- Ability to manage confidential information with discretion.
