POSITION SUMMARY
Reporting to the Manager II – Procurement, the Procurement Associate manages end-to-end indirect procurement and CAPEX sourcing for the Mumbai/Thane pharmaceutical R&D/manufacturing site, including RFQ/tendering, techno-commercial evaluations, PO/contract execution, supplier performance follow-up, and AMC contracting/renewals for scientific and engineering equipment, while ensuring compliance, cost competitiveness, and audit-ready documentation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Strategic Sourcing & Tendering (CAPEX/OPEX)
- Execute end-to-end RFQ/RFP/tendering for CAPEX and OPEX categories, including Engineering, Facilities/Utilities services, Laboratories, EHS, IT, and Admin/Professional services.
- Partner with stakeholders to finalize scope of work/specifications, commercial assumptions, and bid packages; manage bidder communications and clarifications.
- Prepare techno-commercial evaluations, bid comparisons, recommendation notes, and negotiation strategies, support negotiations on price, delivery, payment terms, warranty, and service levels.
- Indirect Procurement & MRO
- Manage procurement for indirect goods and services including office supplies, IT equipment, professional services, and MRO purchases (goods and services).
- Drive standardization through preferred suppliers, rate contracts, and competitive sourcing best practices.
- Contracting & Contract Lifecycle Management (incl. AMCs)
- Draft/coordinate and execute contracts/agreements/work orders in line with internal controls and delegations of authority.
- Manage contract lifecycle: contract repository/archival, renewal calendars, amendments/change orders, SLA/KPI reviews, and performance follow-ups.
- Own and/or coordinate AMC contracting and renewals for:
- Scientific equipment (e.g., analytical/lab instruments and associated service plans)
- Engineering equipment (e.g., utilities/facility systems and engineering service coverage)
- Ensure AMC scope, response times, spares coverage, preventive maintenance schedules, and uptime commitments are clearly defined and tracked.
- Supplier Onboarding, Master Data & Governance
- Support identification and onboarding of suppliers; coordinate collection/verification of vendor documents (e.g., GST, PAN, bank details, licenses/registrations).
- Maintain an updated vendor master and supplier database; ensure data accuracy and appropriate approvals.
- Procure-to-Pay (P2P) Execution
- Execute the end-to-end P2P process: PR creation/validation, PO/WO issuance, order confirmation, delivery/service completion tracking, and closure.
- Coordinate GRN/SES alignment, invoice matching, and issue resolution (short supply, delays, pricing variance, tax/compliance queries).
- Quality/Compliance & Audit Readiness
- Coordinate with Quality/QA for supplier qualification support where required (critical materials/services).
- Ensure complete, accurate, and retrievable documentation for audits/inspections, including bid files, evaluations, approvals, contracts, and due diligence artifacts.
- Ensure compliance with corporate ethics/FCPA, conflict-of-interest rules, and third-party due diligence requirements; maintain required documentation and approvals.
- Stakeholder & Project Support
- Collaborate with project coordinators and cross-functional teams to support expense management for key projects, ensuring procurement execution aligns with project timelines and budgets.
- Provide responsive stakeholder support while maintaining strong governance and documentation discipline.
- Analytics, Reporting & Continuous Improvement
- Prepare and analyze procurement metrics (spend, savings/cost avoidance, supplier performance, cycle time, compliance) and support audits with required records/responses.
- Conduct cost analysis/benchmarking to identify savings opportunities and improve procurement efficiency.
- Develop/maintain SOPs and training documents; serve as a point of contact for contractor Procurement Associates to ensure process consistency.
- Purchasing Methods & Accounting Alignment
- Determine appropriate purchasing method in line with company purchasing and accounting policies.
- Ensure correct account coding, budget alignment, and adherence to approval limits/DOA.
REQUIREMENTS
- Education: Graduate or Postgraduate degree in Supply Chain/Procurement/Business/Engineering/Pharmacy or equivalent.
- Experience: 3–5 years in procurement/sourcing, preferably in pharmaceutical, life sciences or regulated manufacturing environments.
- Category exposure: Experience handling services/CAPEX and indirect procurement (facility/engineering/lab/EHS/admin) is preferred; exposure to regulated materials is an advantage.
- Compliance: Strong understanding of procurement governance, contracting basics, GST/commercial terms, documentation controls and audit readiness; familiarity with third-party due diligence and ethics/FCPA documentation.
- Systems & analytics: Proficiency in MS Excel and ERP tools (SAP/Ariba preferred); ability to analyze bids, speed and supplier performance.
- Communication & stakeholder management: Ability to work with cross-functional teams and suppliers; strong negotiation, drafting and follow-up skills.
- Working style: Detail-oriented, structured, able to manage multiple priorities and deadlines with a customer-service mindset.
