Description:

Workforce1 is a no-cost and federally-funded NYC program that prepares and connects qualified candidates to job opportunities in New York City. The Healthcare Workforce1 Career Center recruits licensed healthcare professionals for various employers. As Receptionist at the Healthcare Workforce1 Career Center, you will provide clerical and administrative support to the staff and customers. You will also answer telephones, greet and assist customers, enter data, manage office traffic flow and perform other general office duties. You will engage with professionals working in and interested in careers in the healthcare industry.


Successful Elements:

· Welcome customers as they enter the Career Center and direct customer flow

· Ensure all customers sign in upon arrival; scan membership cards, as needed

· Hand out Customer Information Forms as required, and review for accuracy and completion upon submission

· Oversee office and customer flow

· Direct customers to the appropriate resource or staff member

· Provide assistance to jobseekers utilizing computers in the Resource Room

· Assist with coordinating and supporting onsite events and activities

· Assist with follow-up calls to customers and document call outcomes

· Maintain knowledge of the Workforce1 Career Center system and direct inquires for additional services to fellow staff or other Career Centers

· Provide information to jobseekers about the Workforce1 Career Center system and partner organizations

· Enter customer information into citywide database with accuracy and efficiency

· Maintain working knowledge of all staff and office-related functions and processes

· Support Career Services team with career development activities, including workshops, training and resume development

· Support Career Services team with jobseeker follow-up and appointment scheduling

· Copy and scan all necessary documents

· Assist with running reports and tracking data as required

· Maintain office calendar via Microsoft Outlook

· Schedule and book rooms at Center for onsite activities and employer events

· Take meeting notes and submit to Director for review

· Open and disburse mail to appropriate staff member

· Manage all office supplies and place orders for replenishment of supplies

· Other opportunities as available




Required Experience:

· Experience in answering telephones in a courteous, efficient and professional manner

· Good interpersonal skills

· Knowledge of various types of office equipment

· Experience maintaining supply inventory and order replenishment

· Proficient with Microsoft Office including Outlook, Word and Excel

· Typing and data entry experience

· Ability to converse with a wide range of professionals and demonstrate a positive professional attitude

· Ability to provide exceptional customer service

· Previous office experience required

· Experience in a healthcare setting is ideal, but not required

· Bilingual preferred

· High School Diploma/GED required
