How you’ll make an impact in this role

  • Manage High-Volume Surgical Workqueues: Systematically monitor and clear dedicated Athena/EMR "surgery buckets," prioritizing cases to ensure timely booking of all ordered procedures.

  • Drive Patient Outreach & Schedule Conversion: Proactively contact patients to coordinate surgical dates, maintaining a rigorous follow-up cadence for unanswered or outstanding scheduling requests to prevent care delays.

  • Execute Pre-Procedural Financial Clearance: Obtain comprehensive insurance benefits and secure prior authorizations specifically for specialized in-office procedures.

  • Provide Transparent Patient Financial Counseling: Contact scheduled patients prior to their procedure to clearly communicate out-of-pocket benefits, deductibles, and upfront financial responsibilities.

  • Maintain Data & Regulatory Integrity: Meticulously log authorization codes, scheduling confirmations, and patient communication details within the EHR system in strict compliance with HIPAA guidelines.

What minimum requirements you’ll need

Education:

  • High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.
    • Note: Required professional licensure/certification can be used in lieu of education or experience, if applicable.

What additional preferences we're seeking

  • Clinical Administrative Acumen: Previous experience navigating medical scheduling modules within an Electronic Medical Record (EMR) system.

  • Foundational Medical Terminology: A strong command of medical and surgical terminology to accurately interpret provider orders and communicate effectively with clinical teams.

  • Payer Landscape Familiarity: Solid understanding of insurance verification, benefit structures, and the prior authorization process for specialized procedures.

  • Exceptional Communication & Phone Etiquette: The professional finesse to deliver complex financial responsibility information to patients with clarity and empathy.

  • Persistent Organization Skills: The ability to self-manage a high-volume patient backlog, ensuring thorough documentation and consistent follow-up workflows.
