What You Will Do:

The ODOT District 12 Capital Programs Department has a position available that is essential to ensuring the efficiency of consultant contract management.  This is a great opportunity to join a high-performing staff focused on personal and professional growth, teamwork, and public service.    If you are a highly motivated individual who values challenging work and a good work/home life balance, consider how you can excel in the following tasks as the Administrative Professional on the Consultant Contracts Management team:

 

  • Review and process contract invoices of engineering consultants and outside agencies (e.g., NOACA, railroads, Local Public Agencies-LPA, etc.) Monitor, manage, and coordinate schedules for consultant marketing meetings (Meet & Greet) and internal meetings.

  • Assist with the consultant proposal selection process (Letters of Interest-LOI) including coordination among selection team, gathering and organizing information, summarizing discussions, and developing feedback.

  • Tracking and working with project managers on consultant billing, schedules, and evaluations.

  • Monitoring prompt payment of subconsultant invoices and submittals.

  • Helping craft valuable feedback for consultants.

  • Providing assistance and troubleshooting for standard invoice templates.

  • Ensuring compliance with record retention schedules for consultant contracts.

  • Prepare reports detailing the status, progress, and performance of consultant contract management, such as invoices, program distribution, consultant evaluations, etc.

  • Provide both internal and external customer service as a point of contact and liaison for the department.   

  • Work with subject matter experts and program managers to help identify efficiencies, needs, and the data required to make informed decisions and ensure program implementation.

30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.

-Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 mos. exp. in secretarial/administrative professional field.

-Or 12 mos. exp. as Administrative Professional 2,16872.

-Or equivalent of Minimum Class Qualifications For Employment noted above.

All bargaining unit and exempt new hires to ODOT must serve a one-year probationary period. 

This position is overtime eligible based on FLSA Standards.

If this position is filled internally, the wage rate will be determined in accordance with the Ohio Revised Code.
