What You’ll Do
- Manage a complex, ever-changing calendar and coordinate internal/external meetings
- Prepare materials for meetings, briefings, and board presentations
- Coordinate domestic and international travel, including itineraries and expenses
- Draft and manage confidential communications and documents
- Serve as a gatekeeper, prioritizing requests and ensuring timely follow-up
- Maintain organized systems across documents, contacts, and workflows
- Liaise with internal teams, external partners, vendors, and key stakeholders
- Manage personal scheduling, travel, and logistics, including family coordination
- Oversee household operations, vendors, and service providers
- Handle personal administration (records, reimbursements, memberships)
- Coordinate gifting, events, and special occasions
- Support errands, research, and day-to-day logistics
- Maintain strict confidentiality at all times
- Support planning and execution of professional and personal events
- Prepare briefing materials and manage guest logistics (invitations, RSVPs)
- Assist with special projects across executive and personal priorities
- Track expenses, invoices, and reimbursements
- Help maintain organization, responsiveness, and continuity during busy periods
- 5+ years of experience supporting C-suite or high-net-worth executives, ideally within investment, finance, legal, or philanthropic organizations, or other similarly fast-paced, high-touch environments
- Polished yet approachable; equally comfortable in the boardroom or handling personal logistics.
- Entrepreneurial mindset- sees what needs to be done and does it.
- A master of organization and time management, thriving in fast-paced environments
- Strong proficiency with Microsoft Office, Google Workspace, and presentation tools.
- Exceptional written and verbal communication skills.
- Discreet, trustworthy, and emotionally intelligent- you understand the importance of confidentiality and professionalism.
- Adaptable and solution-focused, ready to pivot when priorities shift.
