The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Practice Manager is responsible for overseeing the day-to-day operations, patient service activities, and operational workflows of the Rheumatology Faculty Practice. This position ensures the seamless integration of front-end operations, revenue cycle processes, and patient service initiatives to optimize efficiency and maintain a high level of patient satisfaction. The Practice Manager will work closely with the Practice Supervisor and Divisional Administrator to support financial, operational, and clinical objectives.


Responsibilities

  • Supervise the consistent application of patient flow efficiencies and best practice workflows.
  • Ensure practices run in an organized and efficient manner by tracking visit volume trends, maintaining faculty and staff schedules, and monitoring staff time and performance.
  • Oversee and manage supply inventory, including clinical and office supplies, ensuring optimal stock levels.
  • Coordinate schedule template updates in Epic to reflect operational needs and provider availability.
  • Provide oversight, training, and support for front-end revenue cycle operations, including scheduling, registration, insurance verification, and referrals/authorizations.
  • Collaborate with the Practice Supervisor to review and address Epic Work Queues (WQs), missing charges, open encounters, and charge reconciliation.
  • Conduct weekly coding meetings with providers and billing staff to address coding accuracy, missing charges, and documentation compliance.
  • Work with the revenue cycle team to monitor charge edits, denials, and other inquiries to ensure timely resolution.
  • Prepare and review weekly infusion reports to identify discrepancies.
  • Collaborate with the Divisional Administrator on financial reporting, including tracking revenue trends, infusion volume, and reconciliation reports.
  • Prepare and present reports on missing charges, open encounters, and front-end WQ performance during weekly operational meetings.
  • Serve as the primary point of contact for communication with the Faculty Practice Organization (FPO), Central Revenue Operations (CRO), Credentialing, and the Office of Compliance.
  • Train and develop staff on best practices for patient service and front-end revenue cycle operations, including Epic proficiency.
  • Monitor staff performance, conduct regular evaluations, and implement plans for professional development.
  • Serve as an Epic EMR expert and resource for faculty and staff, troubleshooting issues and coordinating upgrades and optimizations.
  • Provide ongoing education for faculty and staff on Epic updates, billing workflows, and compliance policies.
  • Assist with payroll processing, including timecard approvals and staff scheduling.
  • Monitor and address clinical and operational supply needs in collaboration with the Supervisor.
  • Support initiatives to improve patient service, workflow optimization, and team efficiency.
  • Perform additional duties and responsibilities as needed.

Minimum Qualifications

  • Bachelor’s degree or equivalent in education and experience, plus three years related experience.
  • Experience in medical practice management and revenue cycle operations.
  • Proficiency in Epic EMR and practice management systems.
  • Strong knowledge of revenue cycle processes, including coding, billing, and insurance regulations.
  • Excellent organizational, leadership, and analytical skills.

Preferred Qualifications

  • Bachelor’s degree in healthcare administration, business, or a related field.
