Purpose of the role
To manage the executive's schedule, handling correspondence, preparing presentations and reports, and providing other administrative support as needed.
Accountabilities
- Management of senior executive members calendars and overseeing their timely responses to meeting invitations and requests.
- Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive.
- Proactively anticipating the needs of the senior executive, prioritising tasks, and ensuring timely completion.
- Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
- Management and facilitation of senior executive members meetings.

The Personal Assistant to the Head of Government and Regulatory Relations provides dedicated executive and administrative support, ensuring the smooth running of a complex and fast-paced function that engages with senior internal stakeholders, regulators, policymakers, and external partners. Acting as a key point of coordination, the role is responsible for managing an extensive and dynamic diary, organising a high volume of regulatory and stakeholder meetings, and supporting engagement with regulatory bodies, including the ECB and other key regulators. The successful candidate will coordinate domestic and international travel, manage expenses, oversee invoice processing and budget administration, and support team activities such as vacation tracking and team events. The role also includes organising public policy engagements, including stakeholder dinners, roundtables, and other events, while preparing agendas, briefing materials, and accurate minutes for senior leadership meetings involving complex regulatory and technical discussions. Working with both internal and external stakeholders, the individual will manage competing priorities, handle confidential information with discretion, proactively resolve scheduling challenges, and ensure the seamless execution of key government affairs and regulatory relations activities.
To be successful as a Personal Assistant, you must have the following essential skills
- Proven experience providing executive or personal assistant support to senior leaders, with the ability to manage complex diaries, travel arrangements, and high-volume meeting schedules
- Exceptional organisational and stakeholder management skills, with experience coordinating across senior internal stakeholders, regulators, government bodies, and external partners
- Excellent written and verbal communication skills in English and French, including the ability to accurately take minutes and prepare meeting materials for senior-level discussions involving complex or technical subject matter
- Demonstrated ability to manage multiple priorities in a fast-paced environment, exercising sound judgement, discretion, and attention to detail when handling confidential information
- Proficiency in Microsoft Office applications, with experience supporting budget administration, invoice processing, reporting, and general team administration activities

This role is located within our Paris office.
Minimum: €50,000
The minimum salary information above includes only annual full-time equivalent base salary and typically represents the lowest level of pay for this role. The actual pay rate will reflect the responsibility level of the role and experience level of the individual. It does not include any other type of compensation or benefits that may be available.
