Associate Project Manager
Job Description
JOB SUMMARY:
Under the guidance of a Project Manager, the Associate Project Manager (APM) is responsible for the administrative coordination and support of project delivery within the IT Project Management Office (IT PMO). The main focus of the APM’s responsibilities will be to work with Project Managers to support the project lifecycle. Duties can include but are not limited to; coordinating and assisting in the development of electronic and or written materials for presentations and status reports, maintaining and updating project logs, entering and maintaining cost estimates, managing the project budget, tracking project timelines and schedule, and procuring, tracking, and confirming delivery of hardware and software as needed by the project.
Under the direction of the Project Manager, the primary responsibilities of the position are as follows:
Project Management
- Schedules and attends cross functional project meetings, including preparing agendas, taking notes, sending out relevant updates, etc.
- Creates project plans and prepares workflow charts and diagrams to ensure effective use of resources in meeting business needs
- Tracks projects issues, works with team on resolution, follows up on team deliverables
- Assists in preparation of time and cost estimates for completing projects
- Assist in the closeout of completed projects
- Assists in resolution of work problems related to flow charts, project specifications, or programming
- Works with the project manager to forecast work via internal tools such as Clarity, Open Work Bench, and MSP 2013
Financial Management
- Ensure project funding aligns with approved budgets in system of record.
- Validate/adjust monthly financial transactions.
- Track goods and services received, not yet invoiced.
- Track and report out financial health of the project(s).
- Complete project change requests (PCRs) to manage project variances related to scope, schedule or budget.
Procurement Management
- Work with subject matter experts (SME) to determine the appropriate hardware and software needs.
- Acquire quotes as needed for hardware and software purchases.
- Procure hardware and software using Ariba P2P.
- Work with Resource Managers to procure external resource(s).
- Manage labor SOWs.
- Ensure accuracy of cost type e.g., Capital or Expense for all purchases.
Specific Experience:
- General understanding of project management phases, techniques, and tools.
Work Environment:
- Comfortable working in a fast-paced technology environment.
- Willing to complete tasks under strict time constraints.
- Willing to work on-site at any of our casino resorts, which may include exposure to noise, smoke, and populated areas.
Requirements:
- Excellent verbal, written, and presentation communication skills.
- Proficient in all MS Office tools.
- Proficient in MS Project.
- Nimble, and able to react quickly to changing business needs.
- Ability to facilitate discussion and drive consensus.
- Ability to work effectively independently as well as in cross-functional teams.
- Able to work effectively and efficiently toward detailed goals in a complex, matrixed environment with ever-changing demands.
- Solid organizational skills, including attention to detail and multitasking skills.
