Job Description
Essex County Council are delighted to be supporting Harlow District Council to recruit a temporary Events Administrator on a 3-month basis but with the potential to extend. Please note that this post requires the successful individual to be based on site 5 days per week with the ability of flexibility. It would also be ideal if you could drive or had access to a car. Harlow is a district of contrasts and an ideal location to both live and work. The town itself is thriving, with excellent shopping and leisure facilities for all ages. We have good road links to the M11 and M25 and excellent rail connections to London. Job Purpose To provide comprehensive and high-quality administrative support to the Events Manager and Events Team in the planning, coordination and delivery of a diverse programme of civic, cultural and community events across Harlow. The postholder will support the efficient delivery of key events including the Chair of the Council’s civic programme, Harlow Town Show, Christmas Market and wider town-wide events, ensuring effective coordination of calendars, correspondence, stakeholders and operational requirements. Key responsibilities Look after mailboxes Monitor events mailboxes Obtain answers from Events team or others and respond accordingly Save documents relating to events Chase for paperwork, payments, further information from Event organisers Organise information for filming projects CAM system Check applications daily - Training will be provided Liaise with event organisers to confirm or decline events, request payments etc Event support Update and circulate event calendar Prepare event materials i.e. signage, flyers Support with setup of events Attend some events which maybe evenings or weekends Coordinating paperwork for external events General admin work Updating spreadsheets with information Arranging meetings Liaising via email and telephone with Officers, Members, partners, community organisations, suppliers etc Obtaining quotes Research Other ad hoc work that may be required. The experience you will bring Previous Administration experience essential – events beneficial but not essential Proficient in Word, Excel, Outlook, Teams Excellent written and verbal communication skills Strong organisational, time management and multitasking skills Good attention to detail and accuracy Professional, reliable and proactive approach Ability to work independently and as part of a team Good customer service skills Ability to attend events outside of usual working hours What you should do next If you are interested in finding out more about this role, we would love to hear from you.
