Our Staff Leasing team is seeing continuous growth and we are looking for a Staffing Operations Specialist to join our Italy team. As our Staffing Operations Specialist, you will run the operational engine of our staffing delivery in Italy. This is an execution-critical role at the heart of the Staff Leasing business, an operations executor and compliance owner.
 

You own worker lifecycle execution, contract accuracy, payroll input readiness, labour compliance, and operational reliability at scale under Italian employment law and the applicable CCNL.

You execute fast and think ahead. You anticipate issues, flag risks early, and act before problems hit payroll, invoicing, compliance, or client trust.

You will work closely with the Operations Manager but operate autonomously day-to-day, communicating directly with clients, workers, and external partners (payroll provider, INPS, INAIL, CPI, and labour consultants).

Key Responsibilities:

1) Worker Lifecycle & Documentation

  • Prepare, issue, and maintain contratti di somministrazione, amendments, proroghe, and cessazioni across the full worker lifecycle.

  • Collect and validate all worker and client data to ensure on-time starts.

  • Own the data completeness and accuracy that triggers comunicazioni obbligatorie.

  • Maintain accurate employee records, version control, and audit-ready documentation.

  • Manage terminations timely and accurately.

2) Payroll Input Readiness & Weekly/Monthly Controls

  • Own payroll input preparation for both weekly and monthly cycles: chase missing data, validate anomalies, and meet cut-offs with the payroll provider.

  • Maintain accurate records of assenze, malattia, maternità, infortunio, ferie, permessi, and overtime.

  • Run operational checks to prevent payroll and invoicing errors.

  • Verify 13ª/14ª mensilità accruals and TFR tracking as calculated by INTIWAY; flag discrepancies to the payroll provider before submission.

  • Monitor Uniemens/F24 deadlines with the external provider.

3) Labour Compliance & Regulatory Bodies

You are the frontline executor of Italian labour compliance.

  • Ensure compliance with applicable CCNL rules.

  • Monitor that INPS obligations are properly managed by the external provider; verify and escalate issues where required.

  • Monitor INAIL reporting with the external provider; flag anomalies and ensure correct data is provided.

  • Ensure accurate and timely data inputs for all Unilav workforce events; external provider handles submission.

  • Monitor DURC validity for workers and flag issues proactively.

  • Support labour inspections with structured, audit-ready documentation.

  • Flag regulatory changes early and adapt operational procedures accordingly.

4) Client & Worker Operations Support

  • Act as a primary operational contact for workers and clients.

  • Resolve contract, time-tracking, busta paga, and process issues directly.

  • Handle worker complaints professionally; document and escalate.

  • Drive closure with clients and partners.

5) Systems & Process Execution

  • Guide workers and clients on related workforce systems.

  • Own time & attendance collection

  • Build and maintain Italy-specific operational playbooks, checklists, and CCNL reference guides.

  • Identify recurring issues and propose concrete, systemic improvements.

6) Invoicing Inputs & Reporting

  • Support invoicing cycles by validating payroll inputs and ensuring readiness.

  • Maintain operational trackers and surface risks and bottlenecks.

  • Ensure payroll inputs support clean, accurate invoicing cycles.

What will give you the advantage:

  • Proven experience in staffing operations or workforce administration in a high-volume, deadline-driven environment

  • Hands-on knowledge of Italian labour administration: CCNL interpretation, contratti di somministrazione, and the boundary between in-house and provider responsibilities

  • Solid working knowledge of Italian payroll fundamentals

  • Fast learner of new legal and operational frameworks

  • Language Skills: Italian (C1+) and English (C1) — both required

  • Strong operational discipline: checklists and validations by default

  • Proactive problem-solver
