Job Description
We are seeking a highly organized and detailed-oriented clerical professional with strong proficiency in Microsoft Office and the ability to manage data, reports and documentation with precision. The ideal candidate thrives in a fast-paced, KPI-driven environment, demonstrates strong communication skills, and can effectively support both internal teams and external customers. The role requires accuracy, adaptability, and the ability to manage multiple systems and priorities simultaneously
- The selected candidate must possess excellent clerical and organization skills, including computer-keyboarding skills and competency in Microsoft Word.
- Candidate must have the ability to learn Microsoft Excel, as well as other record keeping and tracking systems including (but not limited to) Work Management System, Customer Project Management System, Project Center.
- Excellent interpersonal and telephone skills are required for frequent interaction with internal and external customers.
- The selected candidate must be able to handle multiple tasks and changing priorities, as required.
- Duties will include, but are not limited to: logging and tracking information on systems, preparing letters and memos, compiling various status reports, maintaining current files of maps, plates, etc., maintaining office inventory, and handling customer phone calls.
- Maintain and manage spreadsheets, reports and tracking systems with high accuracy
- Review, process and organize documentation while ensuring date integrity across systems.
- Identify discrepancies and ensure completeness and consistency of records.
- Respond to internal and external inquiries via phone and email.
- Learn and navigate internal systems (e.g CPMS,CC&B. Oracle, ArcFM)
- Ensure compliance with departmental standards and performance metrics (productivity, accuracy, turnaround time).
- High School Diploma/GED
- Driver's License Required
- Ability to push, pull, and lift up to 25 pounds
- Sit or stand to answer a phone for the duration of the workday
- Sit or stand to use a keyboard, mouse, and computer for the duration of the workday
- Ability to stoop, bend, reach, and kneel throughout the workday
- Stand to use/operate office equipment for the duration of the workday
- The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
- This position requires sitting at a workstation (desk) and working on computers for the majority of the workday.
- The selected candidate will write, type, and answer the telephone during this time, which will require excellent manual dexterity and excessive use of hands.
- Candidate must be able to push/pull/lift up to 20 lbs. in weight (stationary boxes and boxes of paper), as well as stoop, bend, reach and kneel in order to file documents.
- The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
