Job Description

Basic Function and Responsibility: This role provides administrative support for student services operations, including processing graduation applications, tracking internship and workshop requirements, maintaining student records, and managing academic-related forms and documentation. The Assistant Coordinator monitors student compliance with program requirements, communicates deadlines and procedures, and ensures accurate recordkeeping across multiple systems. Additional responsibilities include supporting student-facing events, preparing informational materials, responding to student inquiries, and collaborating with faculty and staff to facilitate efficient program operations and student services. Essential Duties: Student Support Administrative Services Maintain accurate student records and documentation. Provide support during peak student service periods (e.g., pre-registration, orientation, transfer intake). Help coordinate peer advisor communications and student follow-ups. Respond to general student inquiries regarding academic processes, forms, requirements, and deadlines. Assist with the processing and tracking of student forms, graduation applications, internship requirements, and workshop completion records. Events Workshops Assist in the planning and execution of student events including career workshops, orientation activities, undergrad intensives and special programs like the Junior Mentorship Program. Coordinate logistics such as room reservations, calendar listings, materials prep,hospitality, and event follow-up. Liaise with guest speakers and presenters as needed. Administrative Operational Support Maintain and update student tracking tools and departmental records. Help manage the internship and workshops documentation process and assist students with submissions. Contribute to the accuracy of internal scheduling, catalog reviews, and departmental documentation. Non-Essential Duties: Participate in department meetings, trainings, and strategic planning sessions. Provide general office support including data entry, calendar management, and document preparation. Assist with front desk operations and customer service duties as needed. Supervision Received: This position reports to the Manager of Undergraduate Programs Qualifications General : Experience working in an academic, administrative, or student support role preferred. Familiarity with higher education systems (e.g., Banner, Canvas) a plus. Education: Associate’s degree or some college coursework required; bachelor’s degree preferred. Skills: Strong organizational and time management abilities Excellent communication and interpersonal skills Proficiency in Microsoft Office and Google Workspace Ability to work independently and collaboratively in a fast-paced environment Attention to detail and accuracy in data handling May be able to lift up to 15 lbs.
