Job Summary
Performs a combination of administrative and clinical support functions to ensure smooth and efficient operations within a clinical service or physician practice under general supervision. Completes routine clerical and patient service tasks while supporting patient flow, scheduling, and day-to-day office activities. Specific responsibilities may vary based on department needs.Essential Functions
Performs routine administrative and clerical duties in support of a clinical service or physician practice.
Schedules patient appointments and maintains accurate appointment records.
Greets patients and visitors, providing professional and courteous assistance.
Answers telephones, responds to routine inquiries, takes messages, and schedules appointments.
Manages patient check-in and check-out processes.
Files materials in patient records and prints appointment schedules as needed.
Processes patient billing forms and scans documents into the electronic medical record system (LMR/EMR).
Requests patient medical records, laboratory test results, and other necessary documentation.
Opens, sorts, and distributes incoming mail, faxes, and other correspondence.
Prepares and types forms, records, schedules, memos, and related documents as directed.
May collect and process patient co-payments in accordance with office procedures.
Handles, screens, and routes messages related to prior authorizations, provider questions, prescription refill requests, and test results.
Serves as a “Super User” for scheduling, registration, and billing systems.
Provides assistance and training to staff on scheduling, registration, and billing processes.
Performs more advanced or specialized functions, such as surgical scheduling, provider schedule changes, and template/block management, based on competency level.
Qualifications
Education
High School Diploma or equivalent preferred.
Can this role accept experience in lieu of a degree?
No.
Licenses and Credentials
Certified Medical Assistant (National Certification) from an accredited certifying body preferred.
Experience
Minimum of 5–7 years of office or administrative experience required.
Knowledge, Skills, and Abilities
- Proficient in Microsoft Office Suite and related office applications.
- Strong verbal and written communication skills.
- Excellent organizational and administrative skills.
- Demonstrated leadership abilities with experience guiding or supporting teams.
- Ability to effectively collaborate with staff at all organizational levels.
- Strong time management skills with the ability to prioritize competing demands.
- Knowledge of Generally Accepted Accounting Principles (GAAP).
- Ability to adapt to changing priorities, deadlines, and a fast-paced work environment.

We are currently hiring a full-time, 40-hour Clinic/Practice Assistant to work on-site at 4 Centennial Drive in Peabody, Monday through Friday, from 8:30 AM to 5:00 PM. Our Practice Assistants play an essential role in delivering high-quality care and ensuring an exceptional experience for our patients.
