Job Summary

Are you energized by helping people, balancing multiple responsibility. The Town of Ajax is seeking a customer-focused Information Desk & Lottery Associate to serve as a front line contact at Ajax Town Hall. Reporting to the Manager of Customer Experience, this role provides accurate information and high quality service to residents, community organizations, and internal partners.

The position delivers in-person, phone, and email customer service and administers the Town’s Lottery Licensing Program, including reviewing applications, issuing licenses, monitoring financial reporting, and ensuring compliance with provincial legislation and AGCO requirements. The role also supports municipal services such as parking, marriage licensing, and corporate inquiries, processes financial transactions, and provides administrative support across Corporate Services.

This role is well suited to someone who enjoys a fast-paced, public-facing environment and takes pride in supporting the community while ensuring accuracy, compliance, and professional service delivery.

Job Duties Include

The following responsibilities and duties of this position include but are not limited to:

  • Respond to general inquiries and provide accurate information about Town programs, services, and policies.
  • Process financial transactions including parking fines, licenses and other payments.
  • Issue marriage licenses, conduct pre-ceremony consultations, and act as a Commissioner of Oaths.
  • Provide backup support for the Switchboard and other customer service counters as required.
  • Administer the Town’s Lottery Licensing Program in accordance with provincial legislation and Alcohol and Gaming Commission of Ontario requirements.
  • Review and process lottery license applications, ensuring eligibility, accuracy, and compliance.
  • Maintain lottery-related records, instructions, forms, and website content.
  • Provide guidance and support to community organizations regarding lottery requirements.
  • Maintain petty cash, process invoices, and support accounts payable activities.
  • Support document management by reviewing documents for formatting, accessibility, and accuracy
  • Assist with inventory tracking, room bookings, and special projects across Corporate Services.
  • Respond to and monitor shared corporate email inboxes

Qualifications & Skills

  • College Diploma in Office Administration or Business Administration.
  • Minimum two (2) years of customer service experience in an office or public-facing environment.
  • Experience handling cash, processing payments, and reconciling financial transactions.
  • Experience working with legislation, policies, or regulatory requirements is an asset.
  • Attention to detail and comfort with numbers (cash handling, reconciliation, accurate data entry).
  • Strong interpersonal skills and the ability to stay courteous, calm and solution focused
  • Intermediate Microsoft 365 application skills
  • Confidence learning and using multiple software tools (e.g. Activenet, JDE, website CMS)
  • If hired, ability to provide a current criminal record check (valid within 6 months of hire) that is satisfactory to the Town of Ajax.

  • Hours of Work: This is a unionized position that works a 35 hour work week. The hours of work of Monday to Friday 8:30 a.m. to 4:30 p.m.
