
Field Office Administration
Job Description
Overview:
Pembina Pipeline is actively hiring an Administration, Field Office for the Fort McMurray locations part of the Operations team.
Reporting to the Supervisor, Administration, as the point of contact the Administrator will be collaborative and detail‑oriented professional with strong organizational skills and a proactive, customer‑service mindset. This role requires the ability to effectively support internal and external stakeholders, respond to inquiries with professionalism and discretion, and manage competing priorities in a dynamic operational environment. The incumbent must demonstrate adaptability and flexibility, including the willingness to cross‑train across a variety of administrative functions to provide coverage, support team continuity, and respond to evolving business needs.
Pembina’s Operations team drives consistent operational excellence across our operating footprint to ensure safe, reliable and cost efficient outcomes, operating an integrated network of hydrocarbon liquids and natural gas pipelines, gas gathering and processing facilities, oil and natural gas liquids infrastructure and logistics services, and an export terminals business.
Responsibilities may include but not limited to:
- Reception and front‑of‑house support, including answering phones, welcoming visitors, managing sign‑ins, and delivering professional customer service;
- Site access and onboarding support, including preparing employee and contractor access requests for shared sites (e.g., CNRL/Syncrude) and provisioning new hires;
- Financial and administrative processing, including goods and service receipts in SAP, invoice validation against contract terms, routing for approval and payment, credit card reconciliations, and adherence to monthly financial deadlines;
- Reporting and documentation, including the creation and maintenance of reports and documents using SAP and BPC Reporting tools;
- Service and cost tracking, monitoring service delivery to support expenditure tracking and forecasting;
- Facilities and physical access coordination, working with property management to manage contractor access, access cards, site and locker keys, and troubleshoot access issues;
- Community and corporate support, assisting with Corporate Community Investment activities and employee engagement initiatives;
- Team coverage and general support, providing backup administrative support during absences and completing other duties as required;

Qualifications:
- High school diploma (Grade 12) with 2+ years of progressive office or administrative experience, preferably within the energy or related field;
- Post‑secondary education in Business Administration or a related field is considered an asset;
- Strong communication and interpersonal skills, with the ability to interact professionally and effectively with a wide range of internal and external stakeholders;
- Demonstrated learning agility, with the ability to quickly understand new systems, processes, and business requirements in a dynamic environment;
- Sound judgment and critical‑thinking skills, enabling effective prioritization of multiple tasks, ad‑hoc requests, and competing deadlines with accuracy and discretion;
- Ability to work independently with minimal supervision, while remaining collaborative and responsive to team and business needs;
- Experience with SAP or similar enterprise systems is considered an asset; and
- Strong computer proficiency, including working knowledge of Microsoft Office (Word, Excel) and SharePoint.
You may also be required to provide a Driver’s Abstract.
