The Legal Administrative Assistant (LAA) provides comprehensive administrative support to attorneys and other timekeepers in their assigned practice group, performing a broad range of administrative duties while applying a strong understanding of their practice areas and clients to support an exceptional client experience.
Essential Responsibilities:
Perform a wide range of routine administrative tasks in support of attorneys and other timekeepers.
Support new client intake and business development by opening and closing matters and submitting conflicts of interest check requests.
Process expense reimbursement requests and handle invoice processing in an accurate and timely manner.
Prepare, revise, and format reports and presentations using Microsoft Office Suite, ensuring adherence to firm branding and style guidelines.
Coordinate with administrative departments to manage and streamline workflow support for attorneys.
Draft and prepare routine correspondence, review and route incoming mail, conduct general research, and maintain files and records.
Provide coverage for incoming telephone calls and ensure proper routing, and follow-up of voicemail messages.
Manage complex calendars, including prioritizing meetings, resolving scheduling conflicts, and proactively organizing changes to events and appointments.
Arrange domestic and international travel and prepare, submit, and track related expense reports.
Collaborate with internal and external resources, as appropriate, to complete assignments and special projects.
Provide overflow and backup support to the administrative legal support team as needed.

Maintain confidentiality of all firm and client information.
Required Knowledge, Skills, and Abilities:
Demonstrated ability to deliver high-quality service and collaborate effectively with diverse individuals at all levels of the firm, as well as with clients and vendors.
Proactive self-starter with a strong willingness to learn and develop independent critical thinking skills.
Capable of taking initiative, establishing priorities, and driving projects to successful completion.
Skilled at managing multiple projects in a deadline-driven environment, with strong organizational abilities.
Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with attorneys and other legal support staff.
Exceptional proofreading abilities, with a strong focus on accuracy and attention to detail.
Able to work effectively both independently and as part of a team to support consistent, efficient workflow processes.
Proven ability to perform successfully in hybrid, remote, and in-office work environments.
Required Education:
Any combination of experience, education or training that demonstrates the ability to perform the essential duties of the position.
Preferred Education:
Bachelor's degree.

Required Qualifications:
Minimum of two (2) years of experience working in an administrative support role in a legal or professional services environment.
Strong proficiency with Microsoft Office, particularly Word, Excel, and PowerPoint.
