Job Description

Position Purpose The Cashier/Receptionists are accountable for payment processing, switchboard and reception tasks, cashiering, mail room activities, and various document processing for electric and water services.   Key Responsibilities/Accountabilities Processing payments and exceptions such as: misapplied payments, EFT payments, MAR EFT and Cheque Payments, Energy lock box payments, payment transfers, suspense account payments, debit and credit memos, NSF and returned autopay payments, returned cheques, post retailer payments, and non-negotiable cheques. Responds to reception calls and general customer inquiries, ensuring a high level of professionalism and in accordance with Alectra Utilities standards and OEB requirements. Work on unoccupied accounts to ensure the responsible customer is added to the address, which may include creation of a new customer account. Make outbound calls to either confirm or exchange information related to assigned tasks such as payment anomalies, meter access, lawyer letters, water arrears certificates and process associated documentation. Supports mail room activities including inter-office mail delivery and prepping outbound items for mailing including assigning faxes and correspondence to the appropriate departments. Process and file various documents, requests and reports such as daily remittance reports, landlord agreements and articles of incorporation. Issue field activity work orders to resolve access issues to field staff. Performs user acceptance testing of system and procedural changes, documenting new and revised procedures to provide efficient billing and customer service. Understanding of Privacy Legislation, and its application within the department. Responsible for a working knowledge and understanding of and make all efforts reasonable to work in accordance with and ensuring work is done in compliance with the appropriate safety legislation, EUSR rules, Alectra policies and procedures and safe work practices that apply to the work while adhering to the internal responsibility system. Reports any unsafe conditions or observed unsafe work practices using Alectra procedures. The incumbent may be asked to perform other related duties which may be assigned from time to time.   Qualifications, Knowledge, Skills and Competencies Education & Specialized Knowledge Minimum of High School Education required. College diploma or University Degree in business or other related field and/or equivalent experience is an asset. Familiarity with regulations and bylaws governing electricity and water services. Experience Less than one (1) year related experience. Experience in dealing with difficult customers, situations and moderately/complex problems. Experience in customer service is an asset. Skills/Abilities/Competencies Demonstrated MS Office experience with Word or Excel. Ability to handle/solve difficult situations. Ability to make quick and accurate decisions with minimal supervision that support the company procedures. Demonstrated Customer Service skills, working both with internal and external stakeholders. Proven keyboarding competency and accuracy is required. Excellent verbal and written communication skills. Must be able to work from other locations as required as per guidelines within the Collective Agreement. Ability to multi-task in a fast-paced environment.
