The Berklee Emerging Technologies Lab (BEATL) advances creative, ethical, and responsible innovation at the intersection of music, technology, and the arts. We are seeking a proactive, highly organized, and tech-savvy Operations and Project Coordinator to provide executive-level support and project management services. Reporting directly to the Founding Executive Director, you will build the operational foundation that turns ambitious partnerships and research into structured action. Key Responsibilities
Project Management & Operating Rhythm:
- Project Roadmaps: Develop, track, and execute project workflows and timelines, proactively identifying bottlenecks, resource gaps, or scheduling conflicts.
- Agile Structures: Support lightweight agile or scrum-inspired practices (sprint planning, daily standups, and backlog tracking) to keep team goals moving forward with clear momentum.
- Meeting Architecture: Manage complex calendars for BEATL leadership. Coordinate agendas, space reservations, tech setups, and actionable follow-up items for internal and external partners.
Logistics, Finance & Administration:
- Event Coordination: Manage the end-to-end logistics for BEATL workshops, panels, artist visits, and industry convenings, including catering, AV setup, RSVPs, and run-of-show documentation.
- Travel Management: Coordinate multi-point travel itineraries, flight/hotel bookings, and campus access for international guests, visiting artists, and staff.
- Financial Operations: Oversee departmental expenses, purchase card reconciliations, vendor onboarding, invoices, and purchase orders in lockstep with Berklee Finance and Accounting.
Cross-Institutional Liaison & AI Workflows:
- Departmental Connector: Serve as a central liaison across institutional wings, including Marketing, Advancement, Legal, HR, Facilities, and Academic Affairs to leverage collective resources.
- AI-Enabled Efficiency: Identify opportunities to deploy AI and modern automation tools to streamline scheduling, generate meeting summaries, optimize document tracking, and eliminate repetitive administrative tasks.
What You'll Bring
- Experience: 3–5+ years of progressive experience in project coordination, program operations, executive support, or high-level event logistics. A Bachelor's or Associate's degree is preferred, but equivalent professional experience is highly valued.
- Digital Tool Mastery: Practical proficiency with enterprise project-management software (e.g., Asana, Trello, Notion, Airtable) and core ecosystems (Google Workspace, MS Office, Mac OS).
- Tech-Forward Mindset: Direct experience or a strong curiosity regarding how AI and automation tools can optimize modern workflow structures responsibly while maintaining privacy and data compliance.
- Attributes: Exceptional organizational clarity, a strict sense of accountability, and professional discretion. You are someone who thrives when building order out of fast-moving, creative ambiguity.

Hiring Range: $71,000 to $94,000; salary dependent on experience and education.
